Job summary

Agilent is seeking a seasoned Executive Administrative Professional to support senior leaders in a global environment. You will manage calendars, arrange complex travel, coordinate quarterly webcasts, and prepare agendas/minutes for key meetings.

The role emphasizes proactive planning, confidential handling of information, and professional communication across internal teams and external partners. Ideal candidates will have 5–10 years of executive support experience, strong Microsoft 365 skills,

Qualifications

  • Bachelor's degree or equivalent experience.
  • 5-10 years of executive administrative support experience, preferably supporting senior leaders in a global environment.
  • Strong proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Excel, Word).
  • Excellent written and verbal communication skills.
  • Strong organizational, planning, and multitasking abilities.
  • Ability to handle confidential information with discretion.
  • Experience supporting global operations, supply chain, manufacturing, or technology organizations preferred.

Responsibilities

  • Proactively manages AVP-GSCS calendar and schedules, including coordinating meeting logistics.
  • Coordinates travel arrangements and visa/passport requirements as needed.
  • Plans and manages quarterly webcasts and assists with content and slides.
  • Prepares agendas and minutes for monthly/quarterly meetings and staff events.
  • Maintains professional communication with internal and external stakeholders at all levels.
  • Assists with or leads projects within the function as needed.
  • Manages SharePoint database and organization charts on internal sites.
  • Acts as execution partner to the GSCS leadership team and coordinates priorities.
  • Anticipates administrative needs and resolves issues proactively.
  • Supports strategic priorities through planning and follow-up and handles confidential information.

  • Proactively manages AVP-GSCS calendar and schedules, including coordinating meeting logistics as well as recurring internal staff meetings and other management level monthly reviews. Maintains awareness of significant deadlines and plans proactively for them.
  • Coordinates all aspects of travel arrangements including booking flights, concur expense claims, hotel and local transportation; providing agendas and itineraries; and arranging visa/passport requirements as needed.
  • Planning and management of quarterly webcasts, assisting with the development of content and slides.
  • Coordinating logistics, agenda, and minutes for various meetings and functions (monthly/quarterly) such as:
    • Quarterly Webcasts / Townhalls
    • Business Review Meetings
    • Staff Meetings
    • Monthly Meetings
  • Communicates professionally with internal customers, external suppliers, other executives and employees at all levels of the company.
  • As needed, may participate in and/or lead projects within the function.
  • Manages SharePoint database.
  • Responsible for ensuring Organization Charts are maintained and updated on Internal G sites.
  • Act as an execution partner to the GSCS leadership team by coordinating priorities and ensuring smooth operational rhythm.
  • Anticipate administrative needs and proactively resolve issues.
  • Help maintain focus on strategic priorities through effective planning and follow-up.
  • Provide confidential handling of sensitive organizational and personnel information.
