Job summary

Masters Union is seeking a Program Manager for the PGP Rise cohort to oversee academic delivery, events, and logistics. You will serve as the primary liaison for learners, masters, and internal teams, ensuring smooth operations and a high-quality experience.

You will coordinate term dates, residencies, and flagship events, manage logistics for visiting masters, and work with multiple departments to align schedules, facilities, and tech setups for hybrid classes.

Qualifications

Responsibilities

  • Finalize term dates and holiday lists with the Academics Team.
  • Schedule sessions, workshops, and term events.
  • Plan and coordinate residencies, immersions, and flagship events (e.g., Convocation).
  • Coordinate visiting masters: teaching slots, calendar, travel, accommodation, and on-campus support.
  • Manage communications with learners for events, residencies, and non-academic updates.
  • Distribute weekly chronicles and handle learner parking requests; coordinate online exam training logistics.

About the role

The Program Manager for PGP Rise plays a crucial role in ensuring the seamless operation, academic delivery, and overall positive experience for a dedicated cohort of students. This position involves comprehensive planning, coordination, and execution of various program elements, serving as a key point of contact for learners, masters, and internal teams.

Specifically, this role will involve
  • Finalizing term dates and holiday lists in collaboration with the Academics Team.
  • Scheduling sessions, workshops, and events throughout the term.
  • Planning and coordinating residencies, immersions, and flagship events like Convocation.
  • Serving as a primary point of contact and manage logistics for visiting masters and Masters-in-Residence, coordinating master availability, finalise teaching slots, and manage their calendar entries, arranging travel, accommodation, parking, and provide on-campus assistance as needed.
  • Coordinating food preferences for masters. Keep the Master Relations (MR) team informed on evaluation status for honorarium processing.
  • Managing communications with learners for events, residencies, and other non-academic updates.
  • Distributing weekly chronicles, managing learner parking requests and coordinate with the Admin team, communicating the schedule for online proctored exam training and mock exams & setting expectations with learners regarding course guidelines and classroom etiquette (in collaboration with TAs).
  • Ensuring classrooms are booked in advance for weekend programs. Coordinate IT setup for hybrid classes with the IT team and TAs, ensuring tech checks are performed.
  • Managing marketing requirements for events and coordinate with the Marketing team. Also, Overseeing general operational and special requirements for the program and events.
  • Working with the Academics Delivery team (TAs) and Academics team to ensure class lists are accurate, students are added to courses on the LMS, and tracking sheets are updated.
  • Ensuring Zoom links are created and added to the link sheet and LMS session details.
  • Supporting the transcript generation process by coordinating with the Academic Team and LMS POC. Manage master and TA assignments to courses on the LMS.
  • Overseeing the smooth execution of events and sessions on the day, including facilitating check-ins, ensuring AV checks are completed, and supporting audience engagement.
  • Coordinating specific logistics and requirements for events.
  • Serving as the primary point of contact for collecting and managing Term End Feedback from learners. Participate in discussions regarding feedback with the Academics review committee.
  • Conveying learner feedback regarding masters that might necessitate a change request.
  • Working closely with multiple internal teams, including Academics, Master Relations, Training & Development, Admin, IT, Marketing, and Student Experience, to ensure integrated and effective program delivery along with utilising dedicated communication channels like WhatsApp groups for real-time coordination.
  • Driving high NPS for the program
Ideal candidate will have
  • Proven experience in program management, or a similar coordination-intensive role is required.
  • Demonstrated ability to plan, coordinate, and execute events and logistics effectively.
  • Excellent verbal and written communication skills, with the ability to maintain a formal to semi-formal tone in communications.
  • Strong interpersonal skills to build relationships and coordinate with diverse stakeholders including faculty, students, and internal teams.
  • Exceptional organizational skills and attention to detail, capable of managing multiple tasks and adhering to strict timelines.
  • A proactive approach to anticipating needs and resolving issues.
