The Client Service Coordinator (HVAC) is responsible for managing client relationships and coordinating service activities related to heating, ventilation, and air conditioning systems. The role ensures timely service delivery, efficient scheduling of technicians, and high levels of customer satisfaction through proactive communication and coordination between clients and technical teams.

Responsibilities

• Serve as the primary point of contact for HVAC clients for service requests, maintenance, and support.
• Schedule and coordinate preventive maintenance, repairs, and installation visits with HVAC technicians.
• Respond to client inquiries, complaints, and emergency service calls in a timely manner.
• Coordinate with technical teams to ensure accurate diagnosis and resolution of HVAC issues.
• Maintain and update service records, job cards, and client history in CRM/service management systems.
• Track service schedules, warranty periods, and AMC (Annual Maintenance Contract) obligations.
• Prepare and share service reports, quotations, and follow-up communications with clients.
• Ensure compliance with service level agreements (SLAs) and company quality standards.
• Support billing coordination by verifying completed jobs and service documentation.
• Assist in onboarding new HVAC clients and explaining service processes and contracts.
• Monitor technician schedules and optimize resource allocation for efficiency.
