About the Role
We are looking for an experienced International Patient Coordinator / Hospital IPD Coordinator who can independently manage international patient cases from enquiry to completion of treatment.
You will act as the key link between patients, families, hospital International Patient Departments (IPDs), doctors, visa/travel partners and internal teams.
This is a hands-on coordination role requiring strong hospital relationships, excellent follow-up, documentation discipline and empathy when dealing with patients and families.
Key Responsibilities
- Manage international patient cases end-to-end, from initial enquiry through hospital treatment, discharge and return home.
- Receive, organise and maintain complete patient case files, including medical reports, scans, passport and other required documents.
- Coordinate with 23 hospital IPDs to obtain treatment opinions and itemised cost estimates.
- Follow up with hospital IPD teams and ensure treatment opinions are received within the target 72-hour timeline.
- Compare treatment recommendations and estimates from different hospitals and highlight discrepancies.
- Coordinate specialist/doctor consultations between patients, families, doctors and interpreters.
- Coordinate with hospitals to obtain medical visa invitation letters, with a target timeline of 24 hours.
- Work with the visa/travel partner and track applications through to decision.
- Coordinate hospital admissions, appointments, treatment and discharge.
- Maintain regular communication with patients, families and the Afghanistan-based partner.
- Review interim and final hospital bills against approved estimates and flag unexplained charges or variations.
- Maintain accurate case trackers, checklists and weekly patient‑funnel reports.
- Monitor cases against service commitments, including 2‑hour first response, 72‑hour treatment opinion and 24‑hour visa invitation letter.
- Identify delayed or stuck cases and proactively elevate them.
- Maintain strict confidentiality of patient medical and personal information.
- Follow all company compliance and ethical guidelines.
Required Skills & Experience
- 5+ years of experience in Hospital International Patient Departments (IPD), Medical Tourism, International Patient Relations, Hospital Administration, TPA/Insurance or related healthcare operations.
- Strong understanding of how hospital IPDs operate in Delhi NCR.
- Experience coordinating international patients and hospital treatment processes.
- Ability to understand and organise medical documents such as discharge summaries, diagnostic reports, MRI/CT reports, angiography reports, etc.
- Strong written and verbal communication skills in English and Hindi.
- Excellent email, WhatsApp, documentation and follow‑up skills.
- Strong ability to manage multiple patient cases simultaneously.
- Excellent coordination and stakeholder‑management skills.
- High level of empathy, ownership and attention to detail.
- Ability to work independently in a fast‑paced, hands‑on environment.
Preferred Qualifications & Experience
- Nursing, Pharmacy, Physiotherapy, Paramedical, Hospital Administration or other healthcare qualification.
- Experience handling patients from Afghanistan, the Middle East or Central Asia.
- Knowledge of Dari, Pashto, Farsi or Arabic.
- Existing working relationships with International Patient Departments at Max, Apollo, Fortis, BLK-Max, Medanta, Artemis or other leading Delhi NCR hospitals.
- Experience with medical visa coordination and international patient travel.
Important
This is not a generic customer-service or front-office position. We are specifically looking for candidates with hands‑on International Patient / Hospital IPD / Medical Tourism / Healthcare Coordination experience.
The selected candidate will be responsible for independently driving patient cases, hospital coordination, documentation, doctor consultations, visa coordination, admissions, discharge and billing follow‑ups.
