Responsibilities

• Lead coordination between Kolkata office, Odisha facility, vendors, logistics partners and customers.
• Track all projects from order confirmation through production, dispatch and delivery.
• Maintain project trackers covering order status, production status, pending actions, delivery timelines and commitments.
• Coordinate with Odisha manufacturing team to ensure production progresses as planned and delays are identified early.
• Follow up with internal teams and factories to close pending activities and commitments.
• Coordinate with customers on order status, timelines, documentation, dispatches and requirements.
• Escalate delays, bottlenecks or quality issues to management before they worsen.
• Ensure projects do not stall due to lack of follow-up; document and record each project/order.
• Coordinate logistics and dispatch as needed and prepare status reports.

Role & responsibilities

• Lead business development for PEB structures
• Act as the central coordination point between the Kolkata office, manufacturing facility in Odisha, vendors, logistics partners and customers.
• Track all ongoing projects/orders from order confirmation through production, dispatch and delivery.
• Maintain clear project-wise trackers covering order status, production status, pending actions, delivery timelines and customer commitments.
• Coordinate regularly with the Odisha manufacturing team to ensure that production is progressing as planned and that delays/issues are identified early.
• Follow up with internal teams and factory personnel on pending activities and ensure that commitments are actually closed.
• Coordinate with customers regarding order status, timelines, documentation, dispatches and other project-related requirements.
• Escalate delays, bottlenecks, quality issues or other risks to management before they become larger problems.
• Work closely with management to ensure that important projects and customer commitments do not get stuck due to lack of follow-up.
• Maintain proper documentation and records for each project/order.
• Coordinate logistics and dispatch activities where required.
• Prepare regular updates/reports on the status of projects and outstanding actions.
• Gradually take ownership of project coordination processes and help build more structured systems for managing the business.
• Use technology, spreadsheets, project-management tools, AI tools and automation wherever possible to improve tracking, communication and efficiency.

Preferred candidate profile

• 1 to 5 years of experience in project coordination, operations, manufacturing, supply chain, client servicing or a similar role.
• Freshers with exceptional organisational and communication skills may also be considered.
• Strong follow-up and coordination skills someone who can keep multiple activities moving simultaneously.
• High sense of ownership and responsibility; comfortable taking a task from initiation through completion.
• Good communication skills and the ability to coordinate effectively with factory teams, customers, vendors and senior management.
• Strong organisational skills and attention to detail.
• Comfortable working with Excel/Google Sheets and other digital tools.
• Should be technology-oriented and open to using AI and automation tools to improve productivity.
• Ability to learn quickly and work independently with limited supervision.
• Comfortable working in a fast-moving SME environment where processes are still being built.
• Should be comfortable communicating with people at different levels, including factory personnel and customers.
• Willingness to occasionally travel to the Odisha manufacturing facility when required.
