Job description

The Talent Screening & Onboarding Specialist is responsible for managing end-to-end pre-employment screening and onboarding activities for employees and contractors across multiple client programs. This role ensures timely completion of background verification, drug testing, client-specific badging requirements, credential activation, compliance tracking, and onboarding support while maintaining service level agreements and delivering exceptional candidate experience.

The Talent Screening & Onboarding Specialist is responsible for managing end-to-end pre-employment screening and onboarding activities for employees and contractors across multiple client programs. This role ensures timely completion of background verification, drug testing, client-specific badging requirements, credential activation, compliance tracking, and onboarding support while maintaining service level agreements and delivering exceptional candidate experience.

Principal Accountabilities

Background Verification (BGV) Management

• Coordinate and manage end-to-end background verification activities through approved screening vendors.
• Monitor all pending verifications including employment, education, criminal, licensing, and reference checks.
• Follow up with candidates, employers, educational institutions, and third-party vendors to ensure timely completion.
• Review screening reports and identify discrepancies requiring further investigation.
• Maintain accurate documentation and audit-ready records.

Drug Testing & Compliance

• Coordinate pre-employment, random, reasonable suspicion, post-accident, follow-up, and client-required drug testing programs.
• Monitor candidate testing status and ensure compliance with customer and company requirements.
• Partner with testing laboratories, Medical Review Officers (MROs), and testing vendors.
• Maintain confidentiality of sensitive medical and screening information.

Client Badging & Credential Management

• Manage client-specific badge renewals, badge activations, and credential requests.
• Process contractor onboarding requirements for customer access systems and client portals.
• Coordinate completion of consent forms, background check renewals, and additional client compliance documentation.
• Track badge expiration dates and proactively initiate renewal activities.

Onboarding Operations

• Support client-specific ad-hoc works and special operational requests.
• Ensure completion of all required onboarding documents, agreements, acknowledgements, and compliance forms.
• Serve as the primary point of contact for onboarding-related queries.
• Ensure SLA adherence.
• Responds to all external inquiries for drug and alcohol testing inquiries within 24 business hours of receipt.

Reporting

• Maintain onboarding trackers and operational reports.
• Analyze onboarding, screening, and compliance metrics.

Qualifications

• Bachelor’s degree in human resources, Business Administration, Operations Management, or related field.
• Relevant experience in Onboarding, Talent Screening, HR Operations, Compliance, or Workforce Administration.

Must have skills

• 2+ years of Onboarding, Talent Screening, or HR Operations experience.
• Proficiency in third-party DT/BG tools, MS Excel and Outlook.
• Experience managing Background Verification (BGV) processes and Drug Testing programs.
• Strong verbal and written communication skills.
• Excellent attention to detail and record-management skills.
• Ability to manage high volumes with strict turnaround times.
