Job Summary:

The Asst. Manager Human Resources is responsible for assisting the Human Resources Department by fulfilling various human resources functions including Payroll, Administration and facility management.

Provide secretarial, clerical, administrative and support services for Human Resources Department; translation assistant (verbal and written). To be actively aware of and organize the day-to-day activities of the Human Resources Department. Efficiency, urgency, confidentiality and initiative will be essential characteristics for this role.

The Asst Manager Human Resources will be required to conduct their duties in a courteous, safe and efficient manner, in accordance with the organizations and HR policies and procedures, ensuring that a high level of service is maintained.

Key Responsibilities:
1. Recruitment, Selection & Induction
  • Monitor current vacancies and respond to, screen, and coordinate telephone and walk-in enquiries.
  • Recruit Associates as per approved manpower requirements.
  • Maintain an updated internal position vacancy list.
  • Effectively utilise Naukri, LinkedIn, social media platforms, and other recruitment channels for job postings and resume sourcing.
  • Coordinate the end-to-end interview process, including scheduling interviews and maintaining interview records.
  • Send regret letters/emails to unsuccessful candidates.
  • Maintain the Manpower Requisition File and ensure recruitment is carried out only against approved manpower requisitions by the Head of HR.
  • Conduct reference checks and coordinate with First Advantage for background/reference verification.
  • Ensure all pre-employment and joining documents are collected and filed appropriately.
  • Maintain Email ID Request Forms for new joiners.
  • Coordinate the induction and onboarding process for new Associates.
  • Assist in ensuring all employee and personnel records are accurately maintained and securely filed.
2. Payroll & Attendance Management
  • Ensure all Associates receive their remuneration accurately and on time.
  • Verify payroll processing in accordance with company policies and applicable labour regulations.
  • Collate, verify, and process payroll inputs from authorised sources.
  • Complete salaried and wage payroll data inputs within the defined timelines.
  • Update Associate payroll and benefits information accurately.
  • Verify timesheets against rosters and highlight attendance or labour compliance issues to the Human Resources Manager.
  • Monitor and process Annual Leave and Sick Leave entitlements.
  • Maintain the leave management system and ensure records are accurate and up to date.
  • Maintain complete and accurate payroll and employee records.
  • Participate in monthly payroll audits conducted by the Controllers.
  • Maintain accurate wage deduction records and reconcile payroll reports.
  • Prepare monthly employee turnover and departmental turnover reports.
  • Ensure payroll and personnel files are complete, accurate, and securely maintained.
3. Human Resources Administration
  • Process and update all relevant employee information in the HRIS from hiring through separation, including leave requests, performance appraisal results, transfers, promotions, and other employee-related records.
  • Track all internal movements and prepare monthly reports for the Head of HR.
  • Maintain working knowledge of applicable Labour Laws and advise Associates on relevant employment conditions.
  • Ensure HR Policy Manuals are maintained and updated as required.
  • Maintain an efficient manual and electronic filing system for easy retrieval of employee records.
  • Respond to Associate requests for Statements of Service, Salary/Earnings Certificates, Bonafide Letters, and other HR-related documents.
  • Coordinate employee separation formalities, including exit interviews, certificates of service, and archiving of terminated employee files.
  • Ensure all payroll and personnel documentation is filed within the defined timelines.
  • Maintain accurate employee files and conduct periodic file audits.
  • Coordinate insurance-related formalities for new joiners and exiting employees.
  • Liaise with the insurance company for insurance cards, mediclaim, GPA claims, and related requirements.
4. General Administration
  • Proactively identify opportunities to streamline HR practices and improve existing systems and processes.
  • Prepare and maintain HR-related files, reports, letters, memorandums, and other business documentation.
  • Provide general administrative and secretarial support to the HR Department, including:
    • Word processing and document preparation
    • Photocopying and scanning
    • Telephone handling and responding to queries
    • Filing and record maintenance
    • Purchase orders and expense vouchers
    • Locker allocation and records
    • Petty cash management
  • Maintain adequate stationery and office supplies for the HR Department.
  • Coordinate employee accommodation requests.
  • Monitor employee facilities, including employee dining, lockers, parking, recreational facilities, and health club facilities, in accordance with organisational standards.
  • Ensure Associates comply with grooming and uniform standards.
  • Process HR correspondence and other documents within defined timelines.
  • Prepare and circulate the monthly birthday list to relevant stakeholders.
  • Share updated Associate lists with the Training Department.
  • Issue Bonafide Letters and other employment-related letters as requested by Associates.
  • Maintain and regularly update locker and locker key records.
  • Perform any other duties assigned by the Human Resources Manager or Hotel Management.
