Job summary

Alfa Laval in Satara is seeking an Administration Specialist to oversee all administrative functions for the Satara Plant, Sirwal, Panchgani holiday home, and rented warehouse, ensuring smooth operations and compliance.

You will lead facility management, security, vendor relations, and HR support, while maintaining records and supporting internal controls in a diverse, global team.

Qualifications

• Bachelor’s degree in business administration, management, or related field.
• 7+ years of experience in administration, preferably in a manufacturing or industrial environment.
• Strong leadership, organizational, and communication skills.
• Proficiency in MS Office and facility management systems.
• Knowledge of statutory compliance, safety, and labor laws.
• Problem-solving attitude and ability to handle emergencies.

Responsibilities

• Supervise and coordinate daily administrative operations, including facility management, office supplies, and vendor management.
• Oversee security, housekeeping, canteen, and cafeteria services to ensure a safe and efficient workplace.
• Manage physical security systems (CCTV, access control, alarms).
• Conduct security risk assessments and recommend mitigation strategies.
• Manage budgets for administrative expenses and optimize cost control.
• Ensure compliance with company policies, statutory regulations, and safety standards with all admin related services.
• Liaise with government authorities, local bodies, and service providers as required.
• Support HR in employee engagement activities, and welfare initiatives.
• Maintain records, contracts, and documentation for audits and internal controls.
• Implement process improvements for enhanced efficiency and service quality.
• Manage holiday homes, ensure proper maintenance, booking, and employee welfare.
• Administer warehouse operations, including upkeep and compliance.
• Own Garden Management.
