Location: Mumbai (BKC)
About the Role
We are looking for an Executive Administration & IT who will own the day-to-day smooth running of Ionic Wealth's Mumbai office — from front-office and vendor management to employee device setup and first-level IT support. This is a hands-on role for someone who enjoys keeping things organised, is comfortable troubleshooting everyday IT issues, and takes pride in a workplace that simply works.
Responsibilities
Office Administration
- Manage front office, reception, and day-to-day vendor coordination (housekeeping, security, pantry, courier)
- Maintain office supplies, stationery, and general asset inventory
- Coordinate employee travel bookings, hotel accommodation, and related logistics
- Manage seating allocation, workstation setup, and office space planning
- Liaise with building management/facility teams on upkeep, safety, and compliance
- Support logistics for internal events, meetings, townhalls, and leadership visits
- Track admin vendor contracts, invoices, and monthly budget spends
- Ensure the office meets basic health, safety, and statutory compliance norms
IT Administration
- Own end-to-end device lifecycle — procurement, configuration, onboarding, and secure offboarding of laptops and desktops
- Maintain the IT asset register and software license tracker (OS, MS Office, antivirus, etc.)
- Provide first-level troubleshooting for hardware, software, and connectivity issues
- Coordinate with IT vendors and ISPs on network connectivity, Wi‑Fi, and basic infrastructure upkeep
- Manage user access provisioning and de‑provisioning (email, HRMS, shared drives) in coordination with HR
- Maintain basic security hygiene — OS updates, antivirus status, and password policy adherence
- Own the IT helpdesk ticketing queue and ensure timely closures within defined SLAs
- Set up and maintain conference room AV and video‑conferencing equipment
- Support routine data backup practices and basic business‑continuity checks
- Escalate complex network, infrastructure, or security issues to external IT/security partners as needed
Requirements
- 7–9 years of experience in office administration and/or IT support in a corporate environment
- Working knowledge of Windows/macOS environments, basic networking, and office productivity tools
- Strong vendor coordination and negotiation skills
- Well organised, detail‑oriented, and comfortable managing multiple priorities at once
- Good communication skills to liaise confidently across HR, Finance, and employees
Good to Have
- Experience in a fintech, financial services, or other regulated environment
- Exposure to ticketing/ITSM tools such as Freshdesk or Zendesk
- ITIL Foundation certification or equivalent
