Job summary

Ctruh is seeking an experienced Admin & Operations Manager to own day-to-day workplace and administrative operations in Bengaluru. You will handle office administration, facilities, procurement, vendor management, travel, assets, inventory, and collaboration with HR, Finance, IT, and the CEO’s Office.

The role is high-ownership, proactive, and suited for someone who thrives in a fast-paced startup environment, capable of independent problem-solving and cross-team coordination.

Qualifications

  • 6+ years of experience in Administration, Operations, Facilities, Procurement, Workplace Operations, or a related function.
  • Proven experience managing vendors, procurement, office administration, assets, and travel operations.
  • Strong vendor management, negotiation, and cost optimization skills.
  • Good understanding of purchase processes, quotations, invoices, and vendor payments.
  • Experience with procurement and expense management tools.
  • Experience managing office setup, expansion, relocation, and facilities projects.
  • Experience coordinating employee onboarding and offboarding logistics.
  • Strong organizational, documentation, and operational tracking skills.
  • Strong communication and stakeholder management skills, with the ability to work effectively across teams.
  • Strong understanding of operational efficiency, process improvement, and cost control.
  • Proficiency in Google Workspace, Microsoft Office, and basic operational tracking tools.
  • Ability to work effectively in a fast-paced and dynamic environment.
  • Ability to maintain confidentiality while handling sensitive company and employee information.

Responsibilities

  • Office Administration & Facilities: Manage day-to-day office administration, facilities, housekeeping, maintenance, utilities, supplies, and workplace requirements.
  • Procurement & Vendor Management: Manage end-to-end procurement including sourcing, quotations, negotiations, purchases, deliveries, and vendor coordination.
  • Travel & Logistics: Manage business travel including flights, trains, hotels, cabs, accommodation, cancellations, and last-minute changes.
  • Asset & Inventory Management: Own the lifecycle of company assets including procurement, allocation, handover, repairs, transfers, returns, and disposal.
  • HR, CEO’s Office & Business Support: Partner with HR on onboarding, offboarding, employee requirements, events, and workplace initiatives.
  • Process & Operational Excellence: Build and maintain SOPs, trackers, vendor records, asset records, and operational documentation.

Ctruh is a deep-tech company building the infrastructure layer for the spatial internet through a proprietary browser-native, no-code 3D engine and VersaAI, our in-house generative AI engine that transforms text, images, and video into production-ready 3D assets in minutes.

Our Work Rhythm

This is a 6-day working setup with Monday to Friday operating from the office and Saturday as Work From Home (WFH). We believe this model enables stronger collaboration, faster learning, and better team alignment while maintaining flexibility.

About The Role

We are looking for a hands-on and highly organized Admin & Operations Manager to manage Ctruh’s day-to-day workplace and administrative operations.

The role will own office administration, facilities, procurement, vendor management, travel, assets, inventory, and operational logistics, while working closely with HR, Finance, IT, and the CEO’s Office.

This is a high-ownership role suited for someone who is proactive, resourceful, comfortable working independently, and enjoys solving problems in a fast-paced startup environment.

Key Responsibilities
Office Administration & Facilities
  • Manage day-to-day office administration, facilities, housekeeping, maintenance, utilities, supplies, and workplace requirements.
  • Ensure smooth functioning of the office and proactively resolve operational issues.
  • Manage office-related contracts, renewals, licenses, and documentation.
  • Coordinate office setup, maintenance, expansion, relocation, and other workplace projects as required.
Procurement & Vendor Management
  • Manage end-to-end procurement including sourcing, quotations, negotiations, purchases, deliveries, and vendor coordination.
  • Identify, onboard, and manage vendors across facilities, office supplies, travel, maintenance, events, and other operational needs.
  • Track vendor performance and negotiate commercials to drive cost efficiency.
  • Coordinate with Finance for invoice processing and vendor payments.
Travel & Logistics
  • Manage business travel including flights, trains, hotels, cabs, accommodation, cancellations, and last-minute changes.
  • Coordinate travel and logistics for employees, leadership, clients, events, and business requirements.
Asset & Inventory Management
  • Own the lifecycle of company assets including procurement, allocation, handover, repairs, transfers, returns, and disposal.
  • Maintain accurate asset and inventory records and conduct periodic audits.
  • Coordinate with HR and IT for employee onboarding and offboarding requirements.
HR, CEO’s Office & Business Support
  • Partner with HR on onboarding, offboarding, employee requirements, events, and workplace initiatives.
  • Support the CEO’s Office with travel, meetings, purchases, logistics, and other time-sensitive requirements.
  • Coordinate office events, employee activities, visitors, and special projects.
Process & Operational Excellence
  • Build and maintain SOPs, trackers, vendor records, asset records, and operational documentation.
  • Track operational expenses and identify opportunities for cost optimization.
  • Continuously improve administrative processes and ensure timely closure of operational requirements.
