Energy Aspects invites applications for an Accounts Payable Specialist to join the Finance team at our Kolkata office. You will manage accounts payable, ensure accurate coding and timely payments, and support month-end close with meticulous records and strong communication with suppliers and internal teams.

The role requires attention to detail, accounting knowledge, and proficiency in Excel and ERP systems. This permanent position offers a collaborative finance environment in Kolkata.

Responsabilidades

• Prepare monthly supplier statement reconciliations and maintain organized financial records.
• Deal with external and internal queries by phone and email.
• Process invoicing and payments with suppliers; ensure timely payments.
• Process staff expense claims on expense management system.
• Post invoices and credit notes; code them correctly in the ERP.
• Assist with Fixed Assets/Prepayments invoices and monthly reconciliations.
• Collaborate with internal departments and vendors to resolve discrepancies.
• Maintain AP inbox; resolve vendor queries; Freshdesk knowledge helps.
• Contribute to process improvements within accounts payable.
• Be aware of tax implications (e.g., TDS, GST).

Energy Aspects currently have an exciting opportunity available for an Accounts Payable Specialist to join the Finance team, based out of our Kolkata office, dedicated to supporting our Finance team.

We are seeking a detail-oriented and experienced Accounts Assistant to join our team. As an Accounts Payable Specialist, you will be responsible for maintaining accurate financial records, managing accounts payable, reconciling bank statements, and assisting with invoicing. The ideal candidate should have strong organizational skills, excellent attention to detail, and a solid understanding of accounting principles.

Key Responsibilities

• Preparing monthly supplier statement reconciliations & Maintain accurate and organized financial records and documentation
• Dealing with external and internal queries by phone and email
• Communicating with relevant suppliers to process invoicing or payment queries
• Process bi-weekly payments made to vendors in a timely manner and initiate payment
• Process Staff Expenses claims on expense management system
• Responsible for managing and maintaining financial records, with a particular emphasis on processing invoices and other bills, review and reconcile invoices, obtain any necessary approvals
• Process Fixed Assets/ Prepayments invoices. assist in maintaining the Fixed Assets/ Prepayments, monthly reconciliations
• Posting invoices and credit notes and ensuring they are coded correctly in the system
• Process and manage accounts payable transactions, ensuring accuracy and timeliness and allocate them in ERP as per COA & Department
• Ability to manage multiple tasks simultaneously while meeting deadlines consistently
• Proficiency in Microsoft Office Suite (particularly Excel) for reporting
• Excellent communication skills both verbal and written
• Good knowledge of Assets / Liabilities and Income / expense and its accounting treatment.
• Willing to engage with internal team and confident to process invoices
• Ownership of AP inbox, responsible for resolution of any Vendor queries. Knowledge of Freshdesk ticketing system helpful but not required
• Contribute to process improvements and efficiency enhancements within the accounts payable function
• Collaborate with internal departments and external vendors to resolve discrepancies and issues
• Awareness on Tax implication - e.g. TDS, GST

Skills, Knowledge and Expertise

• Proven work experience as an Accounts Payable Specialist/Executive.
• Ability to manage multiple tasks simultaneously while meeting deadlines consistently.
• Excellent communication skills both verbal and written.
• Strong analytical skills with the ability to identify and resolve discrepancies or errors.
• Proficiency in Microsoft Office Suite (particularly Excel) for reporting.
• A degree in Accounting, Finance, or a related field is preferred.
