Job summary

Adare Trusted People Partners is seeking a highly organised Workplace Client Experience Coordinator for our Blackrock office. The role is 22.5 hours per week, Monday to Friday, 9:00 am to 2:00 pm, and is a permanent position with on-site duties.

You will be the central contact for clients and visitors, coordinating facilities, technology systems and project administration while delivering exceptional service.

Qualifications

  • At least 3 years in administration, office coordination or client services.
  • Experience in a client-focused environment.
  • Experience administering systems, databases or software platforms.
  • Strong organisational skills and high attention to detail.

Responsibilities

  • Act as first point of contact for telephone and office enquiries.
  • Provide a professional, friendly and efficient experience for clients and visitors.
  • Manage incoming communications and ensure enquiries are dealt with promptly.
  • Coordinate office supplies, facilities and workplace services.
  • Maintain welcoming meeting rooms, kitchen and communal areas.
  • Support the smooth day-to-day operation of our office.
  • Becoming a super-user of key business systems and supporting reporting requirements.
  • Support delivery of workplace investigations and client projects.
  • Prepare, format and quality check employment contracts, policies, handbooks and reports.
  • Use AI-enabled tools to support documentation, meeting transcription and process efficiencies.

What You\'ll Be Doing
Creating Outstanding Client Experiences
  • Acting as the first point of contact for telephone and office enquiries.
  • Providing a professional, friendly and efficient experience for clients and visitors.
  • Managing incoming communications and ensuring enquiries are dealt with promptly.
Supporting a Great Workplace
  • Coordinating office supplies, facilities and workplace services.
  • Maintaining welcoming meeting rooms, kitchen and communal areas.
  • Supporting the smooth day-to-day operation of our office.
Technology Systems Coordination
  • Acting as a key liaison between employees and outsourced IT providers.
  • Supporting onboarding and offboarding processes.
  • Managing user accounts, system access and equipment records.
  • Becoming a super-user of key business systems and supporting reporting requirements.
Client Project Support Delivery
  • Working alongside consultants to implement efficient client support processes.
  • Coordinating project administration and documentation.
  • Support delivery of workplace investigations and client projects.
  • Preparing, formatting and quality checking employment contracts, policies, handbooks and reports.
  • Using AI-enabled tools to support documentation, meeting transcription and process efficiencies.
Events Employee Experience
  • Supporting conferences, exhibitions and business development events.
  • Coordinating travel and event logistics.
  • Helping organise team activities, fundraising initiatives and employee engagement events.
About You

You\'ll be someone who thrives in a busy, professional environment and enjoys balancing people-focused responsibilities with operational and administrative tasks.

You will have availability to work onsite in our Blackrock office, Monday to Friday, 9:00 am to 2:00 pm.

Essential Experience
  • At least 3 years\' experience in administration, office coordination, client services, workplace experience, hospitality, executive support or a similar role.
  • Experience working in a client-focused environment.
  • Experience administering systems, databases or software platforms.
  • Strong organisational skills and a high level of attention to detail.
Essential Skills
  • Excellent communication and telephone manner.
  • Strong customer service mindset.
  • Advanced Microsoft Office skills, including Word, Excel, PowerPoint and Outlook.
  • Ability to manage multiple priorities and work independently.
  • Strong written communication and document preparation skills.
  • Confidence learning and using new technologies and systems.
Desirable
  • Experience in a professional services, consultancy, HR or legal environment.
  • Experience supporting projects or client service delivery.
