Job summary

The Fidelis Partnership in Ireland is actively seeking a Procurement & Vendor Management Specialist on a 6-month fixed-term contract based in Dublin. You will manage supplier renewals and purchase orders while coordinating cross-functional teams to support technology, professional services and corporate suppliers.

The role emphasizes organisation, financial acumen and rigorous record-keeping, with responsibilities spanning negotiations, onboarding, governance reviews and process improvements.

Qualifications

• Experience in procurement, purchasing, vendor management, finance operations or similar environment.
• Experience managing supplier renewals, purchase orders, invoices, quotations or supplier onboarding.
• Exposure to software, SaaS, licences, subscriptions, data services or professional services would be beneficial.
• Experience using an ERP or P2P platform such as SAP, Oracle, Coupa, Ariba or similar.
• Good working knowledge of Excel, with XLOOKUP and pivot tables.
• Experience in regulated sectors such as insurance, banking or financial services would be advantageous.
• Power BI, Power Query or comparable data/reporting experience would be beneficial.
• Procurement/process improvements, templates or reporting experience valued.

Responsibilities

• Manage software, data and service renewals, including renewal dates, notice periods, usage, quotations and stakeholder decisions.
• Ensure renewal/commercial decisions are managed ahead of deadlines to renegotiate, consolidate or exit arrangements.
• Review procurement requests and quotations for completeness, commercial logic, coding, approvals and alignment with business requirements.
• Create and maintain purchase orders, ensuring supplier records and approvals remain accurate.
• Reconcile contracts, budgets, purchase orders, commitments and invoices, investigate and resolve exceptions.
• Analyse supplier, spend, renewal and purchasing data using Excel and reporting tools.
• Support supplier onboarding, governance reviews, reassessments and offboarding by coordinating evidence, approvals and actions.
• Negotiate routine pricing and commercial terms, escalating complex matters as needed.
• Maintain auditable records of decisions, approvals, savings, obligations and follow-up actions.
• Work with owners, suppliers and teams to coordinate procurement and vendor management activity.
• Support workflow improvements, templates, reporting and data quality while maintaining controls.
