Qualifications

• Experience in project coordination, operations coordination, scheduling, client coordination, or similar roles.
• Strong client-facing communication skills across phone, email, and other channels.
• Proven ability to follow up on open items and drive actions through completion.
• Experience managing multiple active projects, tasks, or workstreams simultaneously.
• Experience coordinating schedules, timelines, tasks, or internal resources.
• Strong written and verbal communication with a professional, client-friendly approach.

Responsibilities

• Support the Project Manager with coordination of multiple concurrent projects, tasks, tickets, and workstreams.
• Communicate proactively with clients regarding project scope, scheduling, timelines, updates, and next steps.
• Track open items, pending responses, delayed tasks, commitments, and milestones to completion.
• Coordinate internal schedules for project-related activities, including onsite and remote work.
• Communicate with vendors regarding schedules, deliverables, timelines, and project requirements.
• Respond to client questions and requests promptly, professionally, and accurately.
• Help manage client expectations and elevate concerns, blockers, delays, and timeline risks when appropriate.
• Coordinate with internal teams, project resources, vendors, procurement, and installation teams.
• Work with Procurement to monitor status and timing of ordered equipment and parts.
• Coordinate travel arrangements for installation technicians when required.
• Assist with developing and updating internal processes, policies, and procedures.
• Maintain accurate project documentation and handle sensitive information with confidentiality.
• Support training and onboarding for project team members and new hires as needed.
