Job summary

Portakabin is seeking an experienced Projects Administrator to join the team in Donabate, Dublin. You will provide administrative and documentation support to project delivery teams, ensuring records are accurate and timely while coordinating activities to meet budget, schedule and quality expectations.

You will administer correspondence, assist with Method Statements and Risk Assessments, monitor budgets, and liaise with internal teams, subcontractors and suppliers to keep projects on track.

Qualifications

  • Experience in an administrative or coordination role.
  • Knowledge of Health and Safety requirements desirable.
  • Experience of using SAP or CRM software desirable.
  • Competent user of Microsoft Office applications.
  • Good organisational skills with attention to detail and accuracy in documentation.
  • Good communication skills, with the ability to liaise effectively with colleagues, suppliers and subcontractors.
  • Educated to GCSE level (including Maths and English at Grade 4 or above), or equivalent relevant experience.

Responsibilities

  • Administer and maintain all correspondence, documentation and records relating to project delivery, supporting compliance with company policies, procedures and health and safety requirements.
  • Assist in the preparation of project documentation, including Method Statements, Risk Assessments, Drawings and Delivery Schedules.
  • Support the monitoring of project budgets by recording and maintaining awareness of planned and actual costs.
  • Process project reports and initial assessments to assist in the creation of accurate project quotations.
  • Liaise with internal teams, subcontractors and suppliers to support the smooth coordination and completion of projects within agreed timescales and planned costs.
  • Prepare and maintain accurate project documentation and reports, providing stakeholders with clear updates on progress, risks and opportunities.
  • Assist with managing resources to ensure site visits are coordinated and planned efficiently.
  • In addition to the above, employees are required to carry out any reasonable request to perform other duties as may be required within the scope of the job role.

Description

As a Project Administrator you will provide administrative and documentation support to project delivery teams, ensuring accurate records, effective communication and smooth coordination to enable projects to be delivered on time, to budget and to quality standards.

This role plays a key part in supporting the successful delivery of projects by ensuring all documentation and records are accurate, complete and properly maintained. You will provide efficient administrative support to help projects meet agreed timeframes, budgets and customer requirements, while ensuring processes consistently achieve successful audit outcomes with minimal non-conformances. Your contribution will help ensure buildings, products and services are delivered on time, within budget and to the highest quality standards.

Role Details
  • Annual salary up €48,000 Depending on experience
  • Annual on target bonus of 2.5% depending on company performance
  • Role based: Donabate, Co.Dublin, K36 K759 - Must live locally and be able to travel to the office
  • Contract type: Permanent
  • Annual leave of 25 days per annum plus bank holidays and opportunity to buy an additional 5 days.
In this role you will be required to:

Our Ideal Candidate
  • Experience in an administrative or coordination role.
