Job summary

TEKsystems in Dublin is seeking a Program Manager / Project Coordinator for a hybrid contract role to support a major procurement transformation and AI-enabled workflow implementation. The role requires 3+ years’ experience in Business Analysis, Project Coordination, PMO, or Transformation projects.

You will collaborate with the Director of Procurement, gather requirements, coordinate stakeholders, track progress, and provide reporting across multiple workstreams.

Qualifications

• Bachelor’s degree in Business, Finance, Supply Chain, Procurement, Information Systems, or a related field.
• 3+ years of experience in Business Analysis, Project Coordination, PMO, Executive Assistant, or Transformation roles.
• Experience supporting business transformation or technology implementation projects.
• Strong requirements gathering and business process mapping skills.
• Excellent organizational and multitasking abilities.

Responsibilities

• Support the Director of Procurement in the planning and delivery of the procurement transformation programme.
• Coordinate activities associated with the implementation of the AI-enabled procurement workflow solution.
• Track project milestones, deliverables, risks, issues, dependencies and action items.
• Prepare project documentation, status updates, steering committee packs and executive presentations.
• Monitor project progress and ensure deadlines across multiple workstreams.
• Support testing, deployment and business readiness activities.
• Gather, document and analyse business requirements from stakeholders across procurement, finance, operations and technology teams.
• Map current ('as-is') and future ('to-be') procurement processes.
• Identify process improvement opportunities enabled by automation and AI.
• Translate business requirements into functional requirements for tech partners.
• Participate in workshops, process design sessions and solution demonstrations.
• Support User Acceptance Testing and validation of system enhancements.
• Act as a key liaison between the Director of Procurement and stakeholders.
• Manage meeting schedules, governance forums and executive calendars.
• Prepare agendas, meeting minutes and action trackers.
• Coordinate communications and follow-up across stakeholders.
• Support budget tracking, vendor coordination and procurement admin.
• Build relationships across functions and leadership teams.
• Assist in developing communication and change management plans.
• Support user training, onboarding and adoption initiatives.
• Coordinate stakeholder workshops and feedback sessions.
• Drive awareness and engagement throughout the transformation journey.
• Develop project dashboards and progress reports.
• Analyse procurement and operational data to support decision-making.
• Produce executive summaries and insights for leadership.
• Track benefits realization and KPIs.
