We’re looking for a Program Manager / Project Coordinator to support a major procurement transformation programme and the implementation of an AI-enabled workflow solution. This is a hybrid contract role suited to someone with 3+ years' experience in Business Analysis, Project Coordination, PMO, or Transformation projects.
You'll work closely with the Director of Procurement, helping to gather requirements, coordinate stakeholders, track project progress, support testing and change initiatives, and provide reporting across multiple workstreams. experience with business process improvement, technology implementations, and strong Excel/PowerPoint skills are highly desirable.
Key Responsibilities
Procurement Transformation Support
- Support the Director of Procurement in the planning and delivery of the procurement transformation programme.
- Coordinate activities associated with the implementation of the AI-enabled procurement workflow solution.
- Track project milestones, deliverables, risks, issues, dependencies, and action items.
- Prepare project documentation, status updates, steering committee packs, and executive presentations.
- Monitor project progress and ensure deadlines are met across multiple workstreams.
- Support testing, deployment, and business readiness activities.
Business Analysis
- Gather, document, and analyse business requirements from stakeholders across procurement, finance, operations, and technology teams.
- Map current ("as-is") and future ("to-be") procurement processes.
- Identify process improvement opportunities and efficiencies enabled by automation and AI.
- Translate business requirements into functional requirements for technology partners and solution providers.
- Participate in workshops, process design sessions, and solution demonstrations.
- Support User Acceptance Testing (UAT) and validation of system enhancements.
Executive & Project Coordination
- Act as a key liaison between the Director of Procurement and internal/external stakeholders.
- Manage meeting schedules, project governance forums, and executive calendars related to the transformation programme.
- Prepare agendas, meeting minutes, decision logs, and action trackers.
- Coordinate communications and follow-up activities across project stakeholders.
- Support budget tracking, vendor coordination, and procurement project administration.
Stakeholder Management & Change Support
- Build strong relationships across business functions and leadership teams.
- Assist in developing communication and change management plans.
- Support user training, onboarding activities, and adoption initiatives.
- Coordinate stakeholder workshops and feedback sessions.
- Drive awareness and engagement throughout the transformation journey.
- Develop project dashboards and progress reports.
- Analyse procurement and operational data to support decision-making.
- Produce executive summaries and insights for leadership teams.
- Track benefits realization and key performance indicators (KPIs).
Required Skills & experience
- Bachelor’s degree in Business, Finance, Supply Chain, Procurement, Information Systems, or a related field.
- 3+ years of experience in Business Analysis, Project Coordination, PMO, Executive Assistant, or Transformation roles.
- experience supporting business transformation or technology implementation projects.
- Strong requirements gathering and business process mapping skills.
- Excellent organizational and multitasking abilities.
- Strong stakeholder management and communication skills.
- Advanced Microsoft Office skills, particularly PowerPoint, Excel, Teams, and SharePoint.

Desirable skills
- experience in procurement, sourcing, supply chain, or finance functions.
- Knowledge of procurement technologies, workflow platforms, or Source-to-Pay (S2P) solutions.

- Business Analysis or Project Management certifications (CBAP, PMI-PBA, PRINCE2, PMP, Agile, etc.).
- experience with Power BI, data visualization, or reporting tools.
