Job summary

Medserv in Ireland is seeking a Medical Secretary to join our Remote Practice Management team, based full time onsite in Athlone with a hybrid option after 1 year of service.

You will support consultant clients and patients, manage appointments, handle enquiries, coordinate clinic schedules, and ensure day-to-day operations run smoothly with a focus on excellent client service.

Qualifications

  • Experience managing calls, appointments and patient enquiries.
  • Ability to handle confidential information with discretion.
  • Proficient data entry and accurate records management.
  • Professional written and spoken communication with clients and colleagues.
  • Experience handling billing/payments is a plus.

Responsibilities

  • Managing a high volume of incoming calls from patients, consultants, hospital staff and secretaries.
  • Scheduling and coordinating consultant clinics.
  • Processing medical dictation and correspondence.
  • Handling patient and client enquiries efficiently and professionally.
  • Taking payments and supporting billing-related enquiries.
  • Uploading and maintaining accurate patient information in the Practice Management system.
  • Managing internal and external email communications.
  • Building strong relationships with consultants to ensure client service.
  • Participating in weekly team meetings and continuous improvement initiatives.
  • Assisting with onboarding and training of new team members.
  • Supporting additional projects and administrative tasks as the business grows.

Role Overview:

Due to internal growth at Medserv, we are actively looking for a Medical Secretary to join our Remote Practice Management team based full time onsite in our Athlone Office, with hybrid option available after 1 years service. As a Medical Secretary, you will play a vital role in supporting our consultant clients and ensuring patients receive an excellent experience throughout their healthcare journey. Working closely with a dedicated Patient Administrator, you'll become a trusted extension of your clients' practices, managing appointments, handling patient enquiries, coordinating clinic schedules, and ensuring day-to-day operations run smoothly.

What You'll Be Doing

Essential Requirements
  • Strong organisational skills, including managing tasks, priorities, deadlines, records, or appointments
  • Strong attention to detail, including accurate data entry, document handling, record keeping, or written communication
  • Strong written and verbal communication skills
  • Experience communicating professionally with customers, clients, patients, colleagues, managers, suppliers, or other stakeholders
  • Experience handling telephone calls, emails, inboxes, or customer enquiries
  • Strong customer service skills, with the ability to remain professional, helpful and calm when dealing with enquiries
  • Experience using Microsoft Office applications, particularly Outlook, Word and Excel
  • Ability to manage multiple tasks and priorities in a busy or fast-paced working environment
  • Ability to work independently and as part of a team
  • Ability to handle confidential or sensitive information appropriately

Additional Info:
  • For the first 12 month - This is a full-time position with rotating shifts (8am - 4pm, 8.30am - 4.30pm, 9am - 5pm)
