Job summary

Irish Life is seeking a proactive and highly organised Workplace Experience Specialist to support delivery of a connected, seamless workplace experience for employees, customers and visitors. This hands-on role sits within our Workplace services team, coordinating events, hospitality, wellbeing and engagement initiatives.

Qualifications

• 2–4 years’ experience in workplace coordination, events, hospitality, customer experience or service, corporate services, facilities support or a related environment.
• Strong organisational, planning, and multitasking skills, with the ability to manage competing priorities in a fast-paced environment.
• Experience supporting events, meetings, hospitality services, workplace activities, or employee engagement initiatives.
• Excellent attention to detail and a commitment to high-quality service delivery.
• Strong communication and relationship-building skills, with confidence engaging colleagues, senior stakeholders, suppliers, and internal service teams.
• Practical, hands‑on approach with the ability to anticipate needs, solve problems quickly and stay calm under pressure.
• Good understanding of logistics coordination, including room set‑up, catering, visitor arrangements, supplier coordination, and event support.
• Proficiency in Microsoft Office, Outlook, and Teams; experience supporting hybrid meetings or AV/IT logistics is beneficial.

Responsibilities

• Support the delivery of a consistent, high-quality workplace experience across employee, customer, and visitor touchpoints.
• Assist with the end-to-end planning, coordination and delivery of corporate events, hospitality moments, visitor management, workplace activities, and engagement initiatives.
• Coordinate event and workplace experience logistics, including room set‑up, catering, visitor arrangements, AV/IT requirements, supplier briefings, run sheets, and post-event follow‑up.
• Maintain workplace experience and events processes, including calendars, requests, timelines, documentation, and reporting.
• Work closely with Internal Communications, Facilities Management, Security, Front of House, Health and Safety, IT, AV and Marketing teams and external vendors to ensure coordinated delivery.
• Support catering, hospitality, and leisure provider activity, including bookings, service feedback, issue tracking, invoice administration, and performance reporting.
• Assist with client relationship management, hospitality, and billing queries in partnership with finance colleagues.
• Support wellbeing, employee engagement and workplace initiatives that contribute to a positive, inclusive, and energising environment.
• Gather feedback, track actions, and use insights to identify opportunities for continuous improvement.
• Provide administrative and coordination support for senior team meetings, events, projects, finance, KPI and management reporting.
