  • Strong proficiency in Microsoft 365 (Outlook, Teams, Word, Excel and PowerPoint).

Responsibilities

  • Proactively manage the CEO’s diary, priorities and commitments, ensuring effective use of time.
  • Act as a key point of contact on behalf of the CEO with internal and external stakeholders.
  • Triage requests for the CEO’s time and manage the flow of information.
  • Coordinate executive meetings, leadership events, Board and governance engagements.
  • Prepare high-quality correspondence, briefing materials, presentations and reports.
  • Anticipate and resolve scheduling, logistical and operational challenges.
  • Handle sensitive information with discretion and integrity.
  • Collaborate with senior leadership support teams to ensure delivery of priorities.
  • Maintain a consistently professional and service-focused approach in representing the CEO’s office.

Job description

Our client, a leading organisation within a complex and highly regulated sector, is seeking an experienced Executive Assistant to support its Chief Executive Officer.

This is a trusted and confidential position, providing proactive executive support and helping to ensure the CEO's office operates efficiently, professionally and to the highest standards. The successful candidate will work closely with senior leaders, colleagues and external stakeholders, managing a demanding schedule and supporting a wide range of strategic, corporate and governance-related activities.

The Role:

The Executive Assistant will act as a key point of contact for the CEO, exercising sound judgement, maintaining high levels of discretion and ensuring priorities are managed effectively.

The role requires an organised, adaptable and commercially aware professional who can anticipate requirements, manage competing demands and operate confidently in a fast-paced environment.

Key Responsibilities:
  • Proactively manage the CEO’s diary, priorities and commitments, ensuring the effective use of time and alignment with organisational objectives.
  • Act as a key point of contact on behalf of the CEO, developing and maintaining trusted relationships with internal and external stakeholders.
  • Triage requests for the CEO’s time, prioritising competing demands and managing the flow of information.
  • Coordinate executive meetings, leadership events, Board and governance engagements, and other corporate activities.
  • Prepare high-quality correspondence, briefing materials, presentations and reports, ensuring accuracy and timely delivery.
  • Anticipate and resolve scheduling, logistical and operational challenges.
  • Manage sensitive information relating to commercial, legal, governance, financial and people matters with the utmost discretion and integrity.
  • Collaborate with senior leadership support teams and colleagues across the organisation to ensure effective coordination and delivery of business priorities.
  • Maintain a consistently professional, responsive and service-focused approach when representing the CEO’s office.
Candidate Profile:

The successful candidate will have:

  • Demonstrated experience supporting senior leaders within a complex professional environment.
  • Exceptional organisational and planning skills, with the ability to manage multiple priorities and tight deadlines.
  • Excellent written and verbal communication skills, with the ability to adapt style to different audiences.
  • Proven experience building trusted relationships with a broad range of internal and external stakeholders.
  • Strong proficiency in Microsoft 365, including Outlook, Teams, Word, Excel and PowerPoint.
