Our client is a leading global organisation operating across the industrial automation, electrical connectivity and technology solutions sector, with an established presence in Ireland and a strong international customer base. They are currently seeking an Accounts & Administration Co-Ordinator to join their busy Dublin team. The successful candidate will play an important role in supporting the day-to-day finance and administration functions of the business, ensuring accurate financial processing, effective customer and supplier communication, and smooth day-to-day operations.
Key Responsibilities
- Maintain accurate accounts receivable records, including credits, collections, allocations and outstanding balances.
- Process customer invoicing through BAAN, including manual invoices where required.
- Process purchase invoices, credit notes, purchase orders and employee expenses, ensuring appropriate approvals and controls are in place.
- Process bank statements and complete regular bank reconciliations, including maintaining the monthly cash flow statement.
- Liaise with customers regarding outstanding payments, account queries and payment allocations.
- Complete month-end and day-end procedures within BAAN.
- Reconcile intercompany accounts at month-end and liaise with the wider Group regarding queries and discrepancies.
- Maintain the fixed asset register and regularly review supplier/creditor listings, assisting with supplier payments as required.
- Investigate and clear financial integration errors and non-finalised transactions within BAAN.
- Manage commercial returns from initial customer request through to resolution, including issuing credit notes where required.
- Process EDI transactions and update delivery dates on BAAN, ensuring customers are re-acknowledged where changes are made.
- Support the maintenance of company records, policies and compliance documentation, including health & safety and statutory reporting.
- Maintain inventory records for the Ireland warehouses, making adjustments where required.
- Provide general administrative support, including filing and telephone support.
Skills & Experience
- Assist with other finance and administration duties as required.
- Previous experience in an accounts, finance or finance administration role.
- Ideally, a qualification or relevant training in Finance, Accounting or Bookkeeping, such as Accounting Technician.
- Strong attention to detail and accuracy, particularly when handling financial information.
- Experience using BAAN, SAP or a similar accounting/ERP system is advantageous.
- Strong IT skills, particularly Microsoft Excel, Word, Outlook, Teams and PowerPoint. Knowledge of Microsoft Copilot and database systems would be beneficial.
- Strong organisational and time-management skills, with the ability to manage competing priorities and meet deadlines.
- Excellent communication skills, with confidence dealing with customers, suppliers and internal stakeholders.
- Ability to work effectively in a small team environment while working independently when required.
- A proactive, practical approach with a willingness to learn and develop within the role.
