Job summary

PT Ever Faith Logistics International is seeking a Project Logistics Coordinator to support end-to-end project logistics activities in Indonesia. You will coordinate shipment schedules, cargo handling, and delivery, while liaising with customers, vendors, and transporters to ensure timely execution.

Responsibilities include documentation, EXIM and customs support, cargo monitoring, and close collaboration with sales, finance, and operations to meet deadlines and safety requirements.

Responsibilities

• Support the execution of project logistics activities from initial planning through final delivery.
• Coordinate shipment schedules, transportation arrangements, cargo handling, and delivery activities.
• Follow up with internal teams, customers, vendors, transporters, shipping lines, agents, and other relevant parties.
• Monitor project logistics activities and promptly report delays, discrepancies, or operational issues.
• Assist in coordinating loading, unloading, transportation, and cargo handling activities.
• Monitor cargo movement from origin to destination.
• Support arrangements for special, oversized, heavy, or project cargo when required.
• Ensure cargo handling activities follow approved operational and safety requirements.
• Prepare, collect, check, and maintain project-related shipping and operational documents.
• Assist in checking Commercial Invoices, Packing Lists, Bills of Lading/Air Waybills, Delivery Orders, Shipping Instructions, Proof of Delivery, and other supporting documents.
• Ensure documents are complete and consistent before submission or further processing.
• Maintain systematic filing and proper documentation for each project.
• Coordinate with the EXIM/customs team or appointed customs broker regarding import and export documentation.
• Provide required supporting documents for customs clearance.
• Follow up on customs clearance status and communicate relevant updates to the project team.
• Assist in identifying documentation discrepancies that may cause clearance delays.
• Coordinate operational arrangements with trucking companies, warehouses, shipping lines, agents, and other logistics service providers.
• Confirm vehicle availability, schedules, pickup/delivery arrangements, and operational requirements.
• Collect supporting documents required for vendor billing and operational verification.
• Maintain shipment/project status updates.
• Prepare daily or periodic operational reports as required.
• Update relevant stakeholders regarding shipment progress, delays, and outstanding actions.
• Maintain accurate records of project milestones and operational activities.
• Support communication with customers regarding shipment status and operational requirements.
• Coordinate closely with Sales, Commercial, Finance, and other Operations teams.
• Escalate significant operational issues or customer concerns to the Project Logistics Coordinator or Manager.
• Follow company SOPs, customer requirements, and applicable safety procedures.
• Report unsafe conditions, cargo damage, accidents, or operational incidents immediately.
• Support the preparation of incident documentation when required.
• Maintain confidentiality of customer, shipment, pricing, and company information.
