The Programme Assistant (Policy and Coordination Support) provides essential administrative and coordination support to the Programme Support Unit in Jakarta. This role facilitates policy and coordination activities by assisting in information compilation, record-keeping, event organization, and report preparation. The incumbent supports coordination processes, including those of the United Nations Network on Migration in Indonesia, ensuring smooth operations and adherence to established procedures. This position is crucial for the effective functioning of the unit and contributes to IOM's broader mission of promoting orderly migration and supporting governments and migrants.
Key responsibilities include gathering and organizing information on migration dynamics to support policy and coordination efforts. The role involves providing administrative and secretariat support for UN Network meetings, including preparing agendas, taking minutes, and managing records. It also entails maintaining communication with stakeholders and supporting follow-up on joint migration activities. The assistant will provide logistical support for multilateral processes like the Bali Process and Global Compact for Migration, assist in preparing policy briefs and communication materials, and collect best practices. Additionally, the role requires compiling data for routine reports and presentations, and maintaining organized files and documentation.
A Bachelor’s degree in Social Sciences, Law, Policy, Economics, or a related field from an accredited institution with two years of relevant experience is required. Alternatively, a High School diploma with four years of relevant professional experience is acceptable. Accredited universities are those listed in the UNESCO World Higher Education Database.
Required experience includes providing programme, project coordination, or administrative support, preferably in migration, development, or humanitarian contexts. Experience in coordinating information with diverse stakeholders, organizing meetings and events, managing records and databases, and preparing reports and presentations is also necessary.
Essential skills include good written and oral communication, strong organizational and coordination abilities, and the capacity to gather and organize information effectively. Familiarity with migration issues in Indonesia and a detail-oriented, results-focused approach are also important.
English
