Job summary

Global Roles seeks a Programme Assistant (Policy and Coordination Support) to bolster the UN Network on Migration in Indonesia. The role focuses on administrative and coordination tasks, compiling information, organizing meetings and events, and producing reports and presentations to support policy work.

You will assist in maintaining communications with UN focal points and other partners, help prepare briefing materials, minutes, and summaries, and support multilateral process documentation

Qualifications

  • Bachelor’s degree in Social Sciences, Law, Policy, Economics or related field with relevant experience.
  • Experience in programme, project coordination or administrative support.
  • Experience coordinating information with government entities, UN agencies and civil society.
  • Experience organizing meetings, workshops, consultations and related events.
  • Experience compiling and maintaining information, records and databases.
  • Experience preparing routine reports, briefing materials and presentations.
  • Fluency in English and Bahasa Indonesia (oral and written).

Responsibilities

  • Gather, compile and organize information on human mobility and migration dynamics to support policy and coordination activities.
  • Assist with preparations for UN Network meetings, including minutes, agendas and presentations.
  • Maintain communication with UN focal points and stakeholders; support follow-up on coordination activities.
  • Provide administrative and logistical support for multilateral processes (Bali Process, Colombo Process, Abu Dhabi Dialogue, GCM).
  • Prepare policy briefs, position papers and information sheets for supervisor review.
  • Collect best practices and case studies from projects on migration benefits for Indonesia.
  • Prepare routine reports, summary tables and other information products for supervisor review.
  • Maintain organized files, records, and documentation for assigned activities.
  • Perform other duties as assigned.

Job description

The Programme Assistant (Policy and Coordination Support) provides administrative and coordination support to facilitate policy and coordination-related activities within the Programme Support Unit. The role involves compiling and organizing information, maintaining records, organizing meetings and events, preparing reports and presentations, and supporting coordination processes including activities of the United Nations Network on Migration in Indonesia.

Responsibilities
  • Gather, compile and organize information on human mobility and migration dynamics in Indonesia, in accordance with established sources and guidance, to support policy and coordination-related activities.
  • Assist with preparations for UN Network meetings, by providing administrative and secretariat support, including maintaining relevant records and data, preparing draft agendas, taking minutes, and supporting presentations and other required information products.
  • Assist in maintaining communication and information exchange with UN focal points and other stakeholders and support follow-up on assigned coordination and joint migration-related activities.
  • Provide administrative and logistical support to activities related to multilateral processes, including the Bali Process, Colombo Process, Abu Dhabi Dialogue, and the Global Compact for Migration (GCM), by assisting with documentation, meeting arrangements, filing, and other administrative tasks, as assigned.
  • Collect, compile and organize background information and provide administrative support for the preparation of policy briefs, position papers, information sheets, presentations and other communication materials, for review by the supervisor.
  • Support the collection and organization of best practices and case studies from projects looking at the positive contributions of migration to Indonesia.
  • Compile data and information and prepare routine reports, summary tables, presentations and other information products, in accordance with established formats and procedures, for review by the supervisor.
  • Maintain organized electronic and/or physical files, records and other relevant documentation related to assigned activities.
  • Perform such other relevant duties as may be assigned.
Requirements
  • Bachelor’s degree in Social Sciences, Law, Policy, Economics or a related field from an accredited academic institution with two years of relevant professional experience; or High School diploma with four years of relevant professional experience.
  • Experience providing programme, project coordination or administrative support, preferably within a migration, development or humanitarian context.
  • Experience coordinating information with a range of stakeholders, including government entities, United Nations agencies, civil society organizations and other partners.
  • Experience providing administrative and programme support services, including the organization of meetings, workshops, consultations and related events.
  • Experience compiling, organizing and maintaining information, records, databases and knowledge management resources.
  • Experience preparing routine reports, briefing materials, presentations and meeting documentation, including minutes and summaries.
  • Good written and oral communication skills.
  • Strong organizational and coordination skills.
  • Ability to gather, compile and organize information.
  • Knowledge of migration issues in Indonesia.
  • Detail and results-oriented.
  • Fluency in English and Bahasa Indonesia (oral and written).
