Job summary

Qoala is seeking a Procurement Associate to support the procurement team in sourcing, evaluating, reporting, and procuring goods and services to meet business needs. The role focuses on optimizing costs and ensuring timely delivery in a fast-paced environment.

You will assist in vendor research, manage sourcing and negotiation for regular procurements, and support onboarding to keep vendor data accurate. Strong organizational skills and familiarity with procurement tools are essential.

Qualifications

• 1-3 years of experience in procurement.
• Basic knowledge of procurement processes and documentation.
• Familiarity with procurement systems or procurement tools.
• GA knowledge is considered an advantage.
• Strong organizational skills in a fast-paced environment.

Procurement Associate is expected to support the procurement team in sourcing, evaluating, reporting and procuring goods and services to meet business needs while optimizing costs and ensuring timely delivery.

Responsibilities

• Assist in researching potential vendors to meet procurement needs.
• Manage sourcing and negotiation for regular or low-budget procurements, ensuring cost-effectiveness and policy compliance.
• Assist in the vendor onboarding process, including updating vendor details and ensuring system accuracy.

Procurement Operations

• Process purchase orders accurately and track deliveries to ensure timely fulfillment.
• Maintain precise and organized records of procurement transactions and activities.
• Collaborate with internal teams and vendors to resolve minor procurement issues promptly.

Data Analysis & Reporting

• Assist in compiling and analyzing procurement data.
• Prepare basic reports on procurement activities, performance, and cost savings for internal stakeholders.

Process Improvement:

• Identify areas for improvement in procurement processes and recommend solutions.
• Participate in the development and implementation of automated systems to streamline procurement activities.

Requirements
