PT Susu Life Indonesia is seeking an energetic KOL & Data Operations Coordinator to manage influencer partnerships, track contracts, and support campaign execution. You will also design and maintain data sheets and dashboards for weekly reporting.
The role requires 1–3 years in brand or media with strong Excel/Sheets skills, Indonesian fluency, English ability, and willingness to travel or be on-site for events.
End-to-end KOL / Influencer Management
Screen, evaluate, build, and maintain the KOL resource pool based on brand positioning.
Manage KOL scheduling: slot confirmation, content format, go-live timing, and delivery milestones.
Manage scripts and drafts: collection, organization, submission for review, feedback, and version tracking.
Handle day-to-day communication: brief delivery, revision feedback, and delivery confirmation.
Track the contract process: drafting and circulation, signing, filing, and clause follow-up.
Track sample management: sample requests, shipping, receipt, and return/retention records.
Follow up on settlement and payment: invoices, payment requests, reconciliation, and settlement progress.
Build, maintain, and continuously optimize team data sheets and dashboards, including but not limited to: KOL schedule, KOL library, content calendar, sample tracking, contracts, payment settlement, budget usage, and social media weekly/monthly reports.
Regularly compile data from Instagram, TikTok, YouTube and other platforms: follower growth, reach, engagement, clicks, conversions, etc.
Produce weekly, monthly, and ad-hoc data reports, ensuring data is accurate, timely, and traceable.
Flag abnormal data, delayed projects, and budget overrun risks.
Maintain data version control, access management, and file archiving.
Record, track, and maintain the brand department's budget ledger.
Track spending across KOL, campaigns, materials, and suppliers.
Support budget requests, reimbursements, payment milestone tracking, and reconciliation.
Ensure budget data is clear, accurate, and queryable at any time.
Support the manager in tracking the Indonesia team's online and offline campaign planning and execution, including proposal output, end-to-end follow-up, and on-the-ground support.
Able to independently plan online and offline campaign proposals.
Track campaign to-dos, meeting minutes, project progress, and risk alerts.
Support online and offline marketing execution for events, activations, branding, etc.
Coordinate with marketing, sales, creative, operations, and finance to keep projects on schedule and on budget.
Diploma/Bachelor's degree or above; majors in marketing, communications, business, or data analytics preferred.
1–3 years of experience in brand, media, KOL, social media, data operations, or agency roles.
Proficient in Excel / Google Sheets / Lark Sheets, including pivot tables, VLOOKUP/XLOOKUP, conditional formatting, and chart dashboards.
Familiar with Instagram, TikTok, and YouTube backend and core data metrics.
Fluent in Indonesian; working proficiency in English; Chinese is a plus.
Detail-oriented, structured, and strong at follow-through; able to handle multiple projects simultaneously.
Good communication and negotiation skills, resilient under pressure, punctual, and strong confidentiality awareness.
Willing to accept necessary business travel or on-site event support.
Experience in the Indonesian market across e-cigarettes, beauty, FMCG, retail, e-commerce, or MCN/agency.
Experience with KOL contracts, sample management, settlement, and payment follow-up.
Experience building data sheets, dashboards, or budget ledgers from 0 to 1.
