Responsible for managing, preparing, reviewing, and maintaining import and export documentation to ensure accurate, timely, and compliant processing of international shipments. Coordinates with internal departments, suppliers, customers, freight forwarders, customs brokers, and relevant authorities to facilitate smooth customs clearance and delivery.
Key Responsibilities:
Prepare, verify, and maintain import and export documents, including commercial invoices, packing lists, bills of lading/air waybills, certificates of origin, permits, and customs documentation.
Ensure all shipping and trade documents are accurate, complete, and submitted within required deadlines.
Coordinate with freight forwarders, customs brokers, shipping lines, suppliers, and customers regarding shipment documentation.
Monitor shipment documentation and follow up on missing, incorrect, or delayed documents.
Ensure documentation complies with applicable customs, import/export, and company requirements.
Maintain organized records of import and export transactions for audit and reference purposes.
Support customs clearance processes and provide required documentation to relevant parties.
Track shipment status and coordinate with logistics teams to resolve documentation-related issues.
Identify discrepancies in documents and coordinate corrective actions promptly.
Prepare reports and maintain document tracking records for import/export activities.
Ensure confidentiality, accuracy, and proper control of all trade and shipping documents.
