Role purpose
Provide day-to-day administrative support to the HR function by coordinating HR events and activities, maintaining accurate HR records, and ensuring HR systems and documentation are organized, secure, and up to date.
Key responsibilities
- HR administration and employee lifecycle support
- Prepare and process HR documents for onboarding, probation, confirmations, transfers, role changes, and exits.
- Maintain employee master data and ensure information is current across all HR records.
- Coordinate document collection and completeness for new hires and ongoing compliance.
- HR events and engagement support
- Support planning and execution of HR events, including onboarding sessions, trainings, town halls, celebrations, and engagement activities.
- Manage invitations, attendance lists, logistics, venue and vendor coordination, and post-event documentation.
- Assist with communications materials for HR activities, including notices, agendas, and follow-ups.
- HR systems and tools
- Administer day-to-day data entry and basic user support for HR systems, including employee records, leave, attendance, and any HRIS modules in use.
- Generate routine reports and trackers for HR operations, including headcount updates, onboarding status, and leave summaries.
- Support system audits by checking data accuracy and flagging inconsistencies.
- Files, documentation, and record management
- Maintain organized digital and physical HR filing systems with clear naming conventions and version control.
- Ensure HR templates, SOPs, forms, and policies are stored, accessible to the right stakeholders, and updated when changes occur.
- Manage confidentiality and secure handling of sensitive employee data.
- Prepare and archive HR correspondence, letters, and standard documentation.
- Coordination and stakeholder support
- Serve as a coordination point for HR-related requests, routing items to the right HR team member.
- Schedule meetings and interviews, prepare meeting materials, and take action notes when required.
- Liaise with other departments for employee documentation, approvals, and operational coordination.
- Compliance and process support
- Support compliance documentation for local labor requirements as assigned, including maintaining checklists and evidence.
- Assist with internal audits by preparing requested HR files and records.
- Help keep HR processes consistent by following SOPs and suggesting improvements.
Success measures
- HR records are accurate, complete, and consistently filed.
- HR events run smoothly with clear documentation and timely follow-ups.
- HR system entries and reporting are timely and reliable.
- Confidential information is handled correctly with no breaches.
Requirements
- Diploma or Bachelor's degree in HR, Business Administration, or related field.
- 1 to 3 years of experience in HR administration, office administration, or similar role.
- Comfortable working with HR systems and spreadsheets, including data entry and reporting.
- Strong organization skills, attention to detail, and ability to manage multiple deadlines.
- Clear written and verbal communication.
- High discretion and integrity handling confidential employee information.
Nice to have
- Experience supporting HR events, trainings, or company engagement programs.
- Familiarity with document control, SOP management, and basic compliance checklists.
- Experience working in fast-paced, multi-site operations.
