Job summary

Daewoong Indonesia, part of the Daewoong Group, seeks an HR Operations Associate to manage employee data, HRIS processes, and documentation. You will handle contracts, attendance, payroll inputs, and statutory benefits while supporting onboarding and HR programs across multiple subsidiaries, contributing to a compliant and efficient HR service delivery.

Qualifications

  • Diploma (D3) or Bachelor's degree (S1) in Human Resources, Management, Administration, Psychology, or a related field.
  • 1–2 years' experience in HR operations, HR administration, or general HR.
  • Proficient in Microsoft Excel (VLOOKUP, Pivot Table), Word, and PowerPoint.
  • Good written and verbal communication skills in Bahasa Indonesia; functional English for internal correspondence.
  • High attention to detail and ability to handle confidential employee information appropriately.
  • Strong organizational skills with the ability to manage multiple HR processes and deadlines simultaneously.
  • Familiarity with HRIS platforms such as Talenta, Workday, or equivalent.

Responsibilities

  • Maintain employee master data in HRIS (Talenta) and handle lifecycle changes.
  • Process HR documents: contracts, appointment letters, verification letters, and terminations.
  • Manage attendance, leave, and payroll data; coordinate with Payroll within deadlines.
  • Handle BPJS registrations, private health insurance, and statutory reporting.
  • Support onboarding, training, and HR program activities across entities.
  • Coordinate with external HR service providers and HR vendors.

Your Role in This Journey:
1. Employee Lifecycle & HRIS Operations
  • - Maintain accurate and complete employee master data in the HRIS (Talenta), including new hires, transfers, promotions, organizational changes, status changes, and separations.
  • - Process employee lifecycle transactions within the HRIS and ensure that changes are completed within the agreed service level.
  • - Conduct routine data validation and reconciliation to identify missing, inaccurate, or inconsistent employee information and coordinate corrective actions.
  • - Maintain accurate physical and digital personnel records in accordance with established HR document management standards.
  • - Support the implementation and administration of HR systems, processes, and digital HR services across entities.
2. HR Documentation & Employment Administration
  • - Prepare, process, and distribute standard HR documents, including employment contracts (PKWT/PKWTT), appointment and assignment letters, employment verification letters, reference letters, and separation documents.
  • - Monitor employee contract, probation, and other employment-related deadlines and provide timely notifications to the HRBP and relevant stakeholders.
  • - Coordinate document signing, stamping, distribution, and archiving while maintaining an accurate record of issued HR documents.
  • - Ensure HR documentation is complete and properly maintained for operational and audit purposes.
  • - Prepare routine HR reports, presentations, meeting materials, and minutes as required.
3. Attendance, Leave & Payroll Operations
  • - Administer employee attendance, overtime, and leave processes in the HRIS and coordinate resolution of discrepancies with employees and line managers.
  • - Monitor attendance and leave records and follow up on outstanding or exceptional cases.
  • - Compile and validate monthly payroll input data, including attendance, leave, allowances, new joiners, leavers, and other relevant employee changes, and submit accurate information to Payroll within the agreed cut-off.
  • - Maintain accurate annual leave balances and provide periodic reports to employees and managers.
  • - Support the continuous improvement of attendance, leave, and payroll-related HR processes.
  • - Monitor intern attendance and provide regular reminders regarding attendance, working hours, leave, and attendance submission requirements.
  • - Calculate monthly intern allowance/pay based on approved attendance records and applicable company guidelines, and submit the validated calculation to Payroll/Finance within the agreed timeline.
4. Statutory, Benefits & Employee Services
  • - Process BPJS Ketenagakerjaan and BPJS Kesehatan registrations, updates, and deregistrations for employees and eligible dependents.
  • - Administer private health insurance membership, including enrolment, changes, terminations, and claim submission support.
  • - Support employment-related statutory reporting and maintain appropriate supporting documentation for audits, inspections, and compliance requirements.
  • - Support administrative requirements for overseas employees, including work permits, stay permits, and related documentation, in coordination with the responsible HR team or external vendor.
  • - Serve as a first-line contact for employee enquiries relating to HR operations, policies, benefits, attendance, leave, documentation, and other HR administrative matters, escalating complex or sensitive cases to the appropriate HR stakeholder.
5. Recruitment & Onboarding Operations
  • - Coordinate pre-employment and onboarding documentation and ensure completion of required employee records.
  • - Support onboarding preparation, including account requests, equipment coordination, employee ID, orientation scheduling, and new-hire documentation.
  • - Ensure employee information and documentation are accurately transferred into relevant HR systems and records upon joining.
6. HR Program & Employee Activity Support
  • - Provide operational and logistical support for HR programs, training sessions, employee activities, and HR events.
  • - Coordinate venues, materials, attendance records, communications, and supporting documentation for HR activities.
  • - Maintain accurate records of training and employee program participation for reporting and compliance purposes.
  • - Support the implementation of HR initiatives and programs in accordance with timelines and instructions from HR management and Group Shared HR.
  • - Manage day-to-day HR operational requirements, including office supplies, courier, document delivery, and other HR service needs.
  • - Process HR-related purchase requests, vendor invoices, and reimbursement documentation in coordination with Finance.
  • - Coordinate with external HR service providers, including BPJS, insurance providers/brokers, recruitment vendors, training providers, and other HR-related vendors.
  • - Maintain appropriate records of HR operational transactions and vendor-related documentation.
We are excited to meet:
Required

Diploma (D3) or Bachelor's degree (S1) in Human Resources, Management, Administration, Psychology, or a related field.

1–2 years' experience in HR operations, HR administration, or general HR. Strong fresh graduates with relevant internship experience may be considered.

Proficient in Microsoft Excel (VLOOKUP, Pivot Table), Word, and PowerPoint.

Good written and verbal communication skills in Bahasa Indonesia; functional English for internal correspondence.

High attention to detail and ability to handle confidential employee information appropriately.

Strong organizational skills with the ability to manage multiple HR processes and deadlines simultaneously.

Preferred:

Familiarity with HRIS platforms such as Talenta, Workday, or equivalent.

Working knowledge of BPJS administration and basic Indonesian employment regulations.

Experience supporting employee lifecycle processes in a multinational or multi-entity environment.
