We are seeking a meticulous and experienced HR Administration Staff to join our Human Resources team in Jakarta. In this role, you will be responsible for overseeing daily HR administrative operations, managing employee data accuracy, handling insurance processes, and ensuring smooth employee relations.
The ideal candidate possesses strong analytical problem-solving skills, advanced Microsoft Excel capabilities, and a proven track record in attendance management systems.
Key Responsibilities:
Attendance & Operations Management: Maintain, update, and calculate data related to absenteeism, shifts, leaves, incoming/outgoing correspondence, business trips, and overtime calculations across various departments. Conduct verification and confirmation when necessary.
Personnel Data Maintenance: Update and record personnel files, tracking internal movements such as promotions, mutations, and changes in employee family status to ensure a fully updated database.
Insurance Administration: Manage the end-to-end insurance administration process, including verifying claim statements, processing reimbursements, and handling employee payments for excess claims.
HR General Administration: Oversee document control, archiving, and general clerical support. Ensure all monthly HR reports are prepared and submitted on time to support daily operations.
Policy Dissemination: Periodically communicate, disseminate, and raise awareness regarding company policies to all employees in an effective and proper manner.
HR Agenda Support: Assist in various HR initiatives, events, and agendas to ensure smooth day-to-day office operations.
Requirements:
Education: Bachelor’s Degree (S1) in Human Resources Management, Psychology, Law, Business Administration, or a related field.
Experience: Minimum of 2 years of practical experience in HR Administration, problem-solving analysis, and employee relations.
System Expertise: At least 2 years of hands‑on experience managing attendance systems. (Experience with Solution Attendance Machine is highly preferred).
Technical Skills: Advanced proficiency in Microsoft Excel (VLOOKUP, Pivot Tables, logical formulas, etc.) is mandatory.
Soft Skills: Mature, composed, and professional in handling employee grievances with the ability to provide effective alternative solutions.
