Pengiklan Anonim in Bali seeks a Guest Logistics & Inventory Coordinator to ensure accurate stock, smooth purchasing, and front-desk support across departments.
You will monitor inventory systems, coordinate authorised orders, track deliveries, and maintain records; reporting to the Operational Management Implementor (OMI).
This role emphasizes careful stock control, timely communication of discrepancies, and collaboration with cross-department teams to deliver guest services efficiently.
As Guest Logistics & Inventory Coordinator, you will provide consistent inventory, supplier and front-desk execution using established systems, clear task lists, agreed deadlines and support from the Operational Management Implementor (OMI). Reporting to the OMI, you will help maintain stock accuracy, coordinate authorised purchasing and deliveries, support guest check-in and check-out, and keep operational records and reports up to date. People leadership, broad prioritisation, cross-department strategy and exceptions remain with the OMI.
Monitor inventory software and kitchen systems daily, including records, stock accuracy, reorder points and alerts.
Identify inventory discrepancies and shortages promptly and report blockers, late deliveries, incomplete actions and other issues to the OMI.
Source and place OMI-authorised orders across departments, including operational task and project purchases and general stock replenishment.
Compare suitable suppliers, specifications, prices and delivery times, then submit proposed purchases to the OMI for spending approval before placing orders.
Record each order against its originating task, project or stock item in the established systems.
Track deliveries, receive goods, check quantity and quality, and record receipts and discrepancies.
Prepare vendor-payment documentation, track authorised payments, and reconcile invoices, receipts and records in existing systems.
Escalate payment mismatches and follow approval controls without bypassing approval or releasing unauthorised funds.
Support front-desk check-in and check-out and the handoff of scheduled tours and services.
For guest airport transport, recommend Grab and direct reserved guests to trusted-driver suggestions in their portal; guests arrange transport directly.
Compile inventory, vendor-performance and guest-logistics reports on the schedule agreed with the OMI.
Provide first-line support for familiar operational tools, record faults and elevate access, financial or technical decisions outside assigned authority.
Use Command Center task lists, checklists and saved systems, and participate in structured daily or twice-daily OMI check-ins as agreed.
Coordinate authorized vendor visits with assigned staff and inspections.
Protect operational controls by not changing system permissions or approving your own work.
Experience coordinating inventory, purchasing, vendor administration, front-desk operations or similar operational workflows.
Strong attention to detail when maintaining stock records, orders, receipts, invoices and reconciliations.
Ability to compare suppliers and purchasing options and follow approval processes before committing expenditure.
Confidence using inventory, kitchen, task-management and other operational systems, with the discipline to keep records current.
Clear communication skills and the ability to report discrepancies, blockers, delivery delays and incomplete actions promptly.
Reliable organisation and follow-through across tasks, projects, deliveries and reporting cycles.
Sound judgement to recognise decisions outside assigned authority and elevate them appropriately.
A collaborative approach to front-desk support, vendor coordination and structured check-ins with the OMI.
