Job summary

Spun Srl in Jakarta is looking for an organized visa coordinator to manage end-to-end visa processes for clients traveling across regions. You will verify documents, fill forms, submit applications, and track responses, coordinating with embassies, consulates, and visa centers.

The role requires strong attention to detail, English proficiency, and the ability to work both independently and with a team in a hybrid setup at South Jakarta. Immediate start preferred (2 Nov 2026).

Qualifications

• 1 year of visa/immigration handling preferred.
• Exposure to Asian and/or European visa processes is a plus.
• Bachelor9s degree or equivalent in Tourism, Language Studies, IR, Business Admin, or Hospitality preferred.
• Fresh graduates and SMK graduates with relevant internship or project experience welcome.
• Understanding of embassy procedures, documentation standards, appointment systems (VFS, TLS, BLS), and Schengen knowledge is a strong plus.
• High attention to detail, strong organizational skills, and ability to multitask under time pressure.
• Proficiency in English (spoken and written).
• Proficiency in Microsoft Office / Google Workspace and digital administrative tools.
• Ability to work independently and in a team.
• Able to start immediately (2 Nov 2026).

Responsibilities

• Manage end-to-end visa processes: receiving documents, checking completeness, form-filling, submission, and follow-up.
• Schedule visa appointments (VFS, TLS, BLS, or other centers).
• Provide regular updates on application status until decision (approved/rejected).
• Assist with add-on services to support visa applications (travel itineraries, hotel/flight bookings, travel insurance).
• Act as on-the-ground support at embassies/visa centers when needed.
• Collaborate with internal teams and external partners to streamline workflows and ensure accuracy.
