Job summary

PT Surabaya Mekabox is seeking an Export-Import Coordinator to manage end-to-end shipments from preparation to documentation and ensure on-time delivery.

You will coordinate with suppliers, customers, freight forwarders, and internal teams; prepare invoices, packing lists, B/Ls/AWBs, and other required papers; maintain records and generate regular activity reports.

Qualifications

• Bachelor degree in any major.
• 1–2 years of experience in Export-Import, Logistics, or International Trade is preferred.
• Good understanding of export-import processes, shipping procedures and international trade documentation.
• Able to manage multiple shipments and work effectively under tight deadlines.
• Proficient in Microsoft Office, particularly Microsoft Excel.
• Good command of English, both written and verbal.
• Detail-oriented, proactive, responsible, and highly organized.

Responsibilities

• Handle and coordinate end-to-end export and import activities, from shipment preparation to document completion.
• Prepare, verify, and maintain export-import documents, including Commercial Invoice, Packing List, Bill of Lading/Airway Bill, COO/SKA, PEB, PIB, and other required documents.
• Coordinate with suppliers, customers, freight forwarders, shipping lines, customs brokers/PPJK, and internal departments to ensure smooth shipment processes.
• Monitor shipment schedules, delivery status, customs clearance, and document submission to ensure timely delivery.
• Review shipping documents and ensure accuracy and consistency of shipment data.
• Maintain proper records and filing of export-import documentation and shipment data.
• Prepare regular reports related to export-import activities, shipment status, and documentation.
• Assist with the preparation of cost estimates for international shipments.
• Resolve any logistical or documentation issues that may arise during the import or export process
• Stay updated on international trade regulations and import/export laws & permits.
