Job summary

Apex Property Bali is seeking a hands-on Operations Manager to lead villa operations, organize the team, maintain service standards and ensure timely billing. The role blends office coordination with field supervision, requiring comfort in checking villas, supporting staff and making clear decisions when priorities change.

You will regularly visit properties, schedule cleaners, coordinate repairs and handle guest and owner communications to ensure a smooth guest experience and accurate invoicing.

Qualifications

• Proven experience managing villa, hospitality or property operations.
• Strong scheduling and team-management skills.
• Good working English and Bahasa Indonesia.
• Confidence handling complaints and difficult conversations professionally.
• Practical understanding of housekeeping standards, pool and garden maintenance, and common villa repairs.
• Ability to coordinate technical work safely and assess when a qualified contractor is needed.
• Confidence using operational apps, calendars, spreadsheets and WhatsApp.
• Strong attention to costs, approvals and invoicing.
• Reliable transport and willingness to visit properties regularly.
• Someone who takes ownership, reports problems early and brings workable solutions.

Responsibilities

• Build and maintain a realistic weekly schedule for cleaners, pool staff, gardeners and technicians, allowing for travel, days off, guest access and turnovers.
• Give every serviced villa and unit clear coverage, a responsible person and a backup.
• Protect routine cleaning, pool and garden visits. When emergencies interrupt the schedule, arrange cover and communicate the replacement appointment.
• Handle tenant and owner complaints promptly, provide reliable updates and follow through until the outcome is confirmed.
• Inspect cleaning and maintenance quality. Check the actual result rather than relying only on photos or a task marked “completed”.
• Coordinate repairs, including diagnosis, materials, approvals, contractors and return visits. Recognise when specialist support is required.
• Prepare villas for check-in and manage check-outs, inventories, linen, supplies and handovers.
• Keep the Apex system current so the schedule, WhatsApp updates and outstanding-job list agree.
• Ensure every additional job has a clear scope, approved payer and quote. Hand completed chargeable work to Accounting for invoicing and payment follow-up.
• Control petty cash, receipts and purchasing records, with every expense allocated to the correct villa and job.
• Lead respectful communication between the office and field teams, address performance problems fairly and train staff where needed.
