Haven of Hope Christian Service is seeking an organized and proactive administrator to provide comprehensive support to the department head and our mission-driven team in Hong Kong.
The role involves document preparation, event logistics, volunteer and donor coordination, and maintaining donor/volunteer databases. Fluency in English and Chinese, familiarity with CRM and MS Office, and a collaborative mindset are essential.

Provide comprehensive administrative and secretarial support to the department head, including assists in the preparation of letters, presentations, quotations and other documents in a timely manner
Support the execution of event logistics, including venue coordination, materials preparation, and on-site assistance.
Assist in the management of volunteers and donors, covering recruitment coordination, rostering, communication and donation receipts handling
Maintain accurate records and filing systems, and manage databases related to donors and volunteers
Handle routine office administration, enquiries and other ad-hoc duties as assigned
Collaborate closely with other service units and internal teams to ensure smooth day-to-day operations
Holder of a recognised Diploma with a minimum of Level 2 in five subjects in HKDSE, including Chinese, English and Mathematics, or an equivalent qualifications. Candidates with solid relevant work experience but without the formal academic qualifications will also be considered
At least 1 year’s relevant experience in office administration, event support or volunteer coordination (experience in the welfare / NGO sector is an advantage)
Strong organisational and multi-tasking skills, with the ability to work independently and proactively
Mature, helpful and a good team player with excellent interpersonal and communication skills and a can-do attitude
Proficient in Microsoft Office applications (Word, Excel, PowerPoint) and Customer Relationship Management (CRM) systems
Able to write and speak in both English and Chinese
Willing to learn digital tools and volunteer management systems
