Prohealth Sports and Spinal seeks an experienced healthcare receptionist to lead front-desk operations, welcome patients warmly, and support clinicians with admin tasks. You will supervise junior staff, manage bookings, payments, and insurance claims, and contribute to efficient patient flow across multiple HK locations.

About the role
You will manage and lead our reception, acting as the 'face' of our company and ensuring visitors receive a friendly welcome. This role ensures smooth front-desk operations, delivers excellent patient service, and supports clinical staff with administrative coordination. As a senior team member, the receptionist also supervises junior reception staff and contributes to process improvements.
Key responsibilities
5.5 working days with one Saturday off each month.
Work on 2 rotational shifts: Monday to Friday - 07:30 to 16:30 or 10:00 to 19:00 (rotates alternate or biweekly), and Saturday 09:00 to 13:00 with 1 hour lunch time, all public holidays.Greet patients warmly, manage check-ins/check-outs, and maintain a professional reception environment
Coordinate patient bookings, cancellations, and rescheduling using clinic management software
Handle phone calls, emails, and inquiries; provide accurate information about services, fees, and procedures
Process invoices, collect payments, and reconcile daily transactions
Process insurance claims from the insurance companies within specified timeframe
Maintain patient files and inventory, ensure confidentiality, and comply with data protection regulations
Liaise with physiotherapists and support staff to ensure seamless patient flow
Mentor junior receptionists, delegate tasks, and monitor performance
Identify opportunities to enhance patient experience and streamline administrative workflows
Key Requirements
Diploma or degree certificate
5+ years of experience in healthcare reception or clinic administration
Excellent communication, interpersonal, and customer service skills
Fluency in English and Cantonese (oral and written) languages: capabilities in Mandarin a bonus
Strong knowledge of clinic management software and MS Office Suite. Experience in processing health care related insurance claims preferred.
Organizational skills with the ability to multi-task and prioritize with ability to remain calm under pressure
Leadership qualities with experience supervising staff
