Office Assistant / Receptionist / Junior Office Clerk
Prohealth Sports and Spinal is a highly regarded, well-established and busy Physiotherapy practice in Central and Quarry Bay, with a team of staff providing the highest standards of care in Sports and Rehabilitation Physiotherapy.
We are looking for an individual to manage our reception area. You will act as the 'face' of our company and ensure visitors receive a friendly welcome.
Ultimately you will provide a friendly and professional service to our customers, provide administrative support to our staff and ensure all daily procedures run smoothly.
Responsibilities
- 5.5 working days with one Saturday off each month.
- Work on 2 rotational shifts: Monday to Friday - 07:30 to 16:30 or 10:00 to 19:00 (rotates alternate or biweekly), and Saturday 09:00 to 13:00 with 1 hour lunch time, all public holidays.
- Greet patients and visitors warmly, providing a friendly and professional atmosphere.
- Effectively communicate with patients, addressing inquiries, scheduling appointments, and providing information about our services.
- Manage incoming calls, ensuring prompt and courteous handling of all inquiries.
- Assist with basic accounting tasks, such as managing invoicing and payments.
- Maintain office supplies inventory, place orders, and ensure stock levels are adequate.
- Handle administrative tasks, including filing, data entry, and document preparation.
- Coordinate appointments, meetings, and manage calendars.
- Acquire strong working knowledge of the organisation’s services and staff members
- Work closely together with colleagues to ensure the best experience for patients at all times
- Other ad hoc tasks as assigned by the Clinical Director
Requirements
- A minimum of 3-5 years' experience in a similar capacity. Experience in a physiotherapy, medical, gymnasium or spa environment will be a benefit. Candidates with less experience will also be considered provided they demonstrate capabilities in organisation, communication and the right personality attributes.
- Excellent communication and interpersonal skills.
- A thorough understanding of customer service, office management and basic bookkeeping procedures.
- Fluency in English (oral and written); Cantonese and Mandarin language capabilities a bonus. Organisational skills with the ability to multi-task and prioritise.
- Attention to detail, accuracy, efficiency and an ability to complete tasks with the minimum of supervision.
- Strong knowledge of MS Office (Word & Excel) and scanner and payment systems.
- Reliable, responsive, patient and professional attitude.
- High School Certificate. Additional administration or secretarial certification a plus.
