About the Role
We are looking for a friendly and well-organized Receptionist to support the daily operations of our new Hong Kong entity. In this role, you will be the first point of contact at our office while handling a wide range of general office support tasks.
This role is ideal for someone proactive, and detail-oriented, who enjoys keeping an office running smoothly in a dynamic, international environment.
Key Responsibilities
Reception & Front office management
- You will be the first point of contact for visitors, clients, vendors, and employees, creating a professional, welcoming, and positive impression of the organization.
- Assist guests promptly, ensuring all visitors are appropriately directed.
- Maintain a courteous, friendly, and professional demeanor while responding to inquiries in person, over the phone, and through email.
- Ensure the reception area, meeting rooms, and common areas are consistently clean, organized, well-stocked, and presentable, reflecting the company's professional standards.
- Answer, screen, and direct incoming telephone calls efficiently, ensuring messages are accurately delivered to the appropriate personnel.
- Monitor and manage the general reception email inbox.
- Handle incoming and outgoing correspondence, including letters, packages, courier deliveries, and confidential documents, ensuring timely distribution and proper tracking.
- Coordinate communication between visitors, employees, management, service providers, and external stakeholders.
- Maintain visitor logs, contact databases, reception records, and related documentation.
- Monitor pantry supplies and coordinate replenishment to ensure uninterrupted office operations.
- Report maintenance issues, facility concerns, and equipment malfunctions to the appropriate providers or manager and follow up on resolution.
- Assist in ensuring office facilities remain functional and well-maintained for employees and visitors.
- Deliver exceptional customer service by addressing inquiries, concerns, and requests promptly and professionally.
Requirements
- Diploma or degree in Hospitality, Office Management, or related field.
- 2 to 4 years of experience in a reception or office assistant ideally within an international company.
- Experience in travel coordination and vendor management is a strong advantage.
- Fluent in English and Cantonese; Mandarin is a plus.
- Strong organizational skills, attention to detail, and a proactive, service-oriented attitude.
- Comfortable working independently in a startup-like setup.
