Role Purpose
The Procurement Supervisor acts as the main stream of the Purchasing team in contact with Hong Kong local suppliers and purchase channels across Japan, North America, Malaysia, Philippines, Taiwan, Vietnam, and Thailand.
Main tasks are to sustain all the current suppliers in the Group supplier’s pool and reach out to more related suppliers across the world to seek for more competitive pricing and more stocks.
This role ensures accurate visibility of product costs, supplier’s offer, pre-order sales quantity, and product’s market trend.
The ideal candidate will support a fast-moving toys, collectibles, and TCG business with strong coordination, analytical, and communication skills, while maintaining market’s trend.
Key Responsibilities
Coordinate daily with suppliers, cross checking and negotiating pricing, channel all offers to our internal ERP for all salesman to acknowledge, supplier confirmations, and incoming shipments.
Monitor preorder items, ready stock, dead stock, clearance stock and incoming stock status across all branches and sales channels.
Compare ordered quantities, supplier released quantities, and actual incoming quantities to identify shortages, overages, and discrepancies.
Maintain up-to-date inventory visibility for each brand, item, warehouse location, and sales channel.
Ensure stock allocation is properly controlled to prevent overselling across HK, MY, PH, TW, VN, and TH channels.
Work with warehouse and ERP/RFID systems to ensure all stock-in records are correctly entered and matched.
Support warehouse planning by advising on incoming bulk shipments and required storage space.
Review purchase prices, incoming prices, and supplier invoices to ensure pricing accuracy and avoid overpayment.
Prepare reports, dashboards, and analysis for Team Head on procurement status, stock movement, and inventory risk.
Coordinate with sales teams to provide accurate product availability and launch timelines.
Assist in maintaining product master data, inventory records, and SKU-level controls in the ERP system.
Follow up with internal teams and suppliers to resolve discrepancies, delays, or incomplete releases.
Required Skills and Experience
Minimum 5 years of experience as procurement supervisor, inventory control, supply chain coordination, or related operations roles.
Experience working with ERP systems; RFID or warehouse stock-in systems is an advantage.
Strong understanding of inventory flow, preorder handling, and multi-channel stock allocation.
Excellent spreadsheet and reporting skills, especially Excel.
Strong attention to detail, with the ability to detect quantity and pricing discrepancies.
Good coordination and problem-solving skills in a fast-paced environment.
Ability to communicate clearly with purchasing, sales, warehouse, and management teams.
Language Requirements
Fluent inCantonese,English, andMandarin.
Strong written and verbal communication skills in all three languages.
Industry Preference
Experience intoys, collectibles, trading card games (TCG), or related consumer goods is highly preferred.
Familiarity with preorder-based business models and multi-branch inventory operations is an advantage.
