Responsibilities

  • Receive shipments, unbox and check them, and keep the warehouse organised
  • Log incoming inventory and create inter-entity transfers in the custom inventory system
  • Prepare expense reports and charge-backs across Hong Kong and Singapore entities
  • Take care of Hong Kong paperwork including census reports, renewals, and filings
  • Follow up on approvals and signatures with internal and external parties
  • Support events by coordinating with Taobao vendors and ordering custom items

Job description

Labret is growing across Hong Kong and Singapore, and we're hiring an Operations Coordinator to work closely with our founder on the admin and operations that keep the studios running.

You’ll own inventory across our three studios (two in Hong Kong, one in Singapore), keep the warehouse in order, and handle the paperwork and expense processes that come with operating multiple entities.

It’s a hands-on role with plenty of variety. One day you’re reconciling a stock sheet and preparing charge-backs, and the next you’re in an Uber with a stack of boxes making a delivery to the studio.

You’ll have direct access to the founder and real ownership of your area, but this isn’t a side-by-side role: you’ll be based in our office, often working independently, so you’ll need to be comfortable setting your own pace and staying motivated without a team around you all day.

The role in three parts
Inventory and warehouse (your main focus)
  • Run weekly stock takes across the studios covering both jewellery and supplies, monitoring levels and triggering reorders before anything runs out
  • Manage supplier orders and relationships, most of which run through Taobao and Chinese-speaking vendors
  • Receive shipments, unbox and check them, and keep the warehouse organised so stock is easy to find and move
  • Log incoming inventory and create inter-entity transfers in our custom inventory system, organise delivery to studios or deliver stock to the Hong Kong studios yourself
Expenses and cost allocation
  • Prepare expense reports and charge-backs across our Hong Kong and Singapore entities, forwarding invoices to accounting with the correct entity and description
Admin and founder support
  • Take care of Hong Kong's paperwork, including census reports, business registration renewals, contract renewals and the printing, signing, scanning and filing that goes with them
  • Follow up on pending approvals and signatures with internal and external parties so things don’t stall
  • Support events by coordinating with Taobao vendors and ordering custom items
You’ll thrive in this role if you’re
  • Highly organised and detail-oriented, able to manage stock, paperwork and approvals across three studios and two entities
  • Proactive and self-directed, comfortable working independently in an office environment without close supervision
  • Comfortable with physical work, including lifting boxes and delivering stock to studios across Hong Kong
  • Proficient in Google Sheets, with the ability to learn new systems quickly (inventory system training provided)
  • Trustworthy in handling sensitive business and financial information
  • Fluent in English and Cantonese and/or Mandarin for supplier coordination

We’re open to a sharp junior all-rounder we can train up, or someone with retail or inventory experience who can improve how we do things.
