About the Role
We are looking for a proactive, service-oriented IT Manager to oversee the day-to-day reliability, administration, security and continuous improvement of our digital workplace. You will own Microsoft 365, Microsoft Teams, user access, IT service delivery, SaaS applications, vendor coordination and operational IT projects in a fast-paced marketing environment. This role focuses on business systems and user support rather than hardware repair or infrastructure engineering.
Key Responsibilities
Microsoft 365 & Teams: Administer and support Microsoft 365, including Teams, Exchange Online, SharePoint, OneDrive, user accounts, groups, permissions, licences and collaboration settings.
User lifecycle: Manage IT onboarding, access provisioning, role changes, password resets, offboarding and timely removal of access.
Teams governance: Maintain appropriate team/channel structure, external and guest access, permissions and collaboration practices.
Help desk support: Oversee daily IT support and provide hands-on first- and second-line support when needed for Teams, Microsoft 365, email, shared files, video conferencing and common SaaS applications.
Vendor management: Act as the key contact for managed-service providers and technology vendors; monitor service levels, coordinate escalation and follow through on issue resolution.
Security & data protection: Maintain sound access controls, MFA and user-security practices; coordinate backup, recovery, endpoint management and cyber-security arrangements with external vendors.
Business systems: Partner with departments to improve workflows, collaboration, reporting, document management and use of SaaS, marketing and productivity tools.
Projects & documentation: Coordinate IT and digital-workplace projects, maintain user guides and IT procedures, and provide clear operational updates to management.
Budget & subscriptions: Monitor IT expenditure, licences, SaaS subscriptions, contracts and renewal dates; identify practical cost-saving opportunities.
Requirements
Bachelor’s degree in IT, Computer Science, Business Information Systems or a related discipline; relevant experience may be considered in place of formal qualifications.
At least 5 years’ relevant experience in IT operations, IT support, Microsoft 365 administration, systems administration or a similar role.
Hands-on experience administering Microsoft 365, particularly Teams, Exchange Online, SharePoint, OneDrive, user accounts, groups, permissions and licences.
Practical experience supporting Microsoft Teams, including meetings, channels, file collaboration, permissions, external collaboration and common end-user issues.
Experience managing user access, onboarding/offboarding, software licences, IT support requests and outsourced IT vendors or managed-service providers.
Sound understanding of IT security fundamentals, including MFA, access control, phishing risks, secure file sharing, data protection, backup and incident escalation.
Strong troubleshooting, communication and stakeholder-management skills, with a service-oriented approach to supporting non-technical users.
Good project coordination and documentation skills, with the ability to manage priorities, deadlines, vendors and budgets.
Proficiency in written and spoken English and Chinese; Cantonese and Putonghua are preferred.
Preferred
Experience in a marketing agency, creative agency, professional-services firm or other client-service environment.
Familiarity with Microsoft Entra ID, Intune, Defender, Power Automate, Power BI or similar digital-workplace tools.
Experience supporting hybrid teams and a range of SaaS applications used for project management, marketing, collaboration or client service.
Relevant Microsoft 365, Teams or ITIL certification is an advantage.
