As you become established in the role, you will progressively take on broader people operations responsibilities, developing your HR experience while supporting our school communities.
Coordinate the end-to-end recruitment process for assigned vacancies across Hong Kong, Bali, Australia, and Singapore, from understanding hiring requirements and sourcing candidates to screening, interview coordination, reference checking, and offer arrangements.

Coordinate with candidates, hiring managers, school teams, and other relevant parties to arrange interviews, obtain feedback, and progress recruitment decisions.
Track recruitment milestones, outstanding actions, and deadlines, proactively following up to ensure each stage progresses in a timely manner.
Identify potential delays or challenges early, elevate them appropriately, and help coordinate practical solutions.
Maintain timely and professional communication with candidates throughout the selection process, ensuring a positive experience regardless of the outcome.
Build and maintain candidate pipelines for current and future hiring needs across the regions.
Maintain accurate recruitment records, including candidate information, interview feedback, supporting documentation, and next steps.
Prepare regular updates on hiring progress, recruitment metrics, and outstanding priorities.
Coordinate onboarding arrangements with the relevant teams to support a smooth transition from candidate to new colleague.
As you develop in the role, you will progressively take on the following responsibilities, working closely with the People team and relevant stakeholders to ensure accurate, timely support in line with applicable regional requirements.
Support monthly payroll preparation, checking, and reporting, including MPF and medical benefits administration where applicable.
Assist with annual tax reporting, rental reimbursement administration, and insurance and benefits reviews and renewals.
Maintain accurate and up-to-date employee information and leave records in the HR information system.
Prepare employment documentation and process employee changes, including new joiners, transfers, and leavers.
Coordinate with internal teams and external service providers to obtain information, resolve discrepancies, and meet processing deadlines.
Support reviews of employee benefits, HR policies, and related programmes.
Support the onboarding journey and help create a welcoming, organised experience for new colleagues.
Coordinate staff visa applications, renewals, and cancellations, tracking documentation requirements and submission deadlines.
Respond to routine employee enquiries and provide administrative and coordination support for employee relations and grievance matters.
Follow up on outstanding documents and employee requests, keeping relevant parties informed of progress.
Handle employee information and sensitive matters with discretion and confidentiality.
Support HR projects from planning through to completion, coordinating stakeholders, tracking milestones, and following through on outstanding actions.
Prepare regular and ad hoc HR reports and compile HR metrics to support analysis and planning.
Check data accuracy and ensure reports and supporting information are submitted on time.
Support the annual HR audit by maintaining complete records and coordinating supporting documentation.
Assist with staff activities, wellbeing initiatives, and employee events.
Identify opportunities to improve day-to-day HR processes and contribute practical solutions.
Flag potential delays or issues promptly and work with the team to keep deliverables on track.
A degree in Human Resources Management, Business Administration, or a related discipline.
Preferably 1-3 years of relevant experience in recruitment, HR, or people operations.
Hands-on experience in candidate sourcing, screening, and interview coordination would be an advantage.
Experience supporting recruitment across multiple locations or working with regional stakeholders would be an advantage.
Experience in a school or education environment is desirable but not essential.
Excellent command of written and spoken English and Mandarin.
Proficiency in Microsoft Office; familiarity with HR information systems or applicant tracking systems would be an advantage.
Immediate availability or a short notice period would be an advantage.
A genuine passion for working with people and creating positive experiences for candidates and colleagues.
A proactive, service-oriented approach, with the initiative to anticipate needs, identify solutions, and take action rather than wait for direction.
Strong attention to detail, ensuring that records, documentation, arrangements, and follow-up actions are accurate and complete.
Excellent organisational and coordination skills, with the ability to manage multiple priorities, stakeholders, and deadlines across different regions.
Flexibility and cultural awareness, with the ability to adapt to different regional needs, working styles, and scheduling requirements.
