Serving as a key liaison between clients, tenants, and technical teams, you will ensure the efficient operation of building systems (e.g., HVAC, electrical, mechanical) and oversee the service quality of outsourced vendors to provide a safe, comfortable, and compliant office environment.What this job involvesKey ResponsibilitiesDaily Operations Supervision: Regularly inspect building public areas and plant rooms, monitor system status, and ensure strict adherence to Standard Operating Procedures (SOPs).Vendor Management: Supervise the daily performance of outsourced vendors (e.g., cleaning, waste management, technical maintenance), conduct regular performance evaluations, and drive continuous improvement initiatives.Maintenance Coordination: Receive and process Work Orders, coordinate with internal engineering teams or external contractors to ensure timely repairs, and follow up until closure.Compliance & Safety: Ensure property operations fully comply with relevant Hong Kong regulations (e.g., Electricity Ordinance, Fire Services Ordinance) and assist in organizing fire drills and safety inspections.Financial Management: Assist in annual budget preparation, monitor daily expenses, execute procurement processes, review vendor invoices, process payment applications, and propose cost-saving initiatives.Event & On-site Management: Support client events, facilitate venue setup and personnel scheduling; promote WPR-hosted events, coordinate catering/setup, and collect feedback.Project Support: Assist engineers in preparing project data, processing funding requests, scheduling overtime, and supervising contractor on-site compliance.EHS & ISO14K: Assist in setting quarterly and annual goals, implement waste recycling plans, and ensure site compliance with company EHS standards.Reporting: Prepare monthly facility operation reports, documenting Key Performance Indicators (KPIs), incident logs, and relevant improvement measures.Mailing Management: Oversee Mailroom operations, provide documentation required for import/export logistics, process expense applications, and maintain delivery records.Customer Service: Professionally handle facility-related inquiries and complaints to enhance client satisfaction and maintain strong rapport with building management.Front Desk Relief: Provide coverage for the reception desk during absences.Perform other ad-hoc tasks as assigned by management.Qualifications & RequirementsEducation: Diploma or Bachelor's degree in Facility Management, Mechanical/Electrical Engineering, or related disciplines.Experience: At least 2-4 years of experience in commercial property or facility management. Experience with international property consultancies or high-end hotels is preferred.Professional Qualifications: A valid Registered Electrical Worker (REW) certificate (Grade A or B) issued by the EMSD (Hong Kong) is preferred. CFM or similar qualifications are an advantage.Language Skills: Fluent in Cantonese, English, and Mandarin (spoken and written) with excellent communication and negotiation skills.Key Competencies: Familiarity with Hong Kong property management regulations and industry best practices.Proficiency in Microsoft Office (Word, Excel, PowerPoint).Strong problem-solving, multitasking, and teamwork skills.Ability to work effectively under pressure in a fast-paced environment.If this job description resonates with you, we encourage you to apply even if you don’t meet all of the requirements below.
