- Oversee daily office operations to ensure an efficient workplace
- Provide reception duties, including answering and referring telephone inquiries, and welcoming visitors by greeting and directing them appropriately
- Identify and report any issues related to facilities, equipment, cleaning, security, or building services, and coordinate with contractors and building management as required
- Support office and equipment maintenance, as well as cleaning services
- Arrange for the dispatch of incoming mails or documents received at the reception counter
- Monitor and evaluate contractor performance
- Verify invoice details and assist in arranging payments
- Assist in the procurement process by obtaining quotations and preparing procurement applications
- Provide administrative support for events and meetings
- Perform documentation duties such as filing and data entry
- Undertake other duties as assigned by supervisors
Requirements
- University degree or equivalent preferred
- MUSTpass in five subjects, including Chinese Language and English Language (“Syllabus B” before 2007), at Level 2 / Grade E or above in the Hong Kong Certificate of Education Examination, or at Level 2 or equivalent or above in the Hong Kong Diploma of Secondary Education Examination.
- Minimum 4-6 of solid working experience in administrative duties
- Mature, responsible and reliable
- Strong service orientation and proven service delivery skills, with a high level of responsiveness
- Excellent communication, interpersonal and organisational skills
- Proficiency in MS Word, Excel, PowerPoint and Chinese word-processing
- Willing to work during non-office hours when required
