Job summary

FACAUTO in Derby is seeking a Workshop Administrator to support the day-to-day running of the vehicle workshop. You will handle visitor reception, book in workshop work, log jobs, and manage vehicle keys and records.

The role requires experience in a service reception or automotive admin environment, strong IT skills, and the ability to work in a busy workshop. Temporary maternity cover with potential for permanence.

Qualifications

• Experience in a vehicle workshop, garage or service reception is desirable.
• Experience as a Workshop Administrator or automotive administration role.
• Confident taking and issuing vehicle keys and managing vehicle movements.
• Experience logging vehicle jobs and maintaining workshop records.
• Good IT and administration skills, including maintaining spreadsheets.
• Strong organisational skills and attention to detail.
• Good communication with technicians, visitors and internal customers.
• Ability to work in a busy workshop environment and manage priorities.

Responsibilities

• Receive visitors and provide professional service to colleagues and internal customers.
• Book in planned and reactive workshop work.
• Record bookings on relevant spreadsheets.
• Create jobs for technicians using Fleet Management system.
• Take in vehicle keys and tag details of work.
• Manage vehicle keys and workshop parking.
• Provide courtesy vehicles where appropriate.
• Keep customers updated on vehicle progress.
• Maintain progress spreadsheets and provide updates by phone.
• Enter manual records onto Fleet Management system.
• File records into vehicle files.
• Assist with compiling recharge information for Derby Homes and Nottingham City Council.
• Support wider Fleet function during absences, including hire vehicles and fuel cards.
• Assist with issues related to onsite fuel management system.
