Job summary

Wye Valley NHS Trust is seeking a patient-facing administrative role based at Hereford. You will greet patients, manage queries, and support ward staff with appointments, transfers and records to ensure smooth departmental operation.

The successful candidate will communicate effectively by phone, email and in person, handle multiple tasks calmly, and maintain accurate medical notes and filing as processes complete. This is a frontline role within a supportive NHS environment.

Qualifications

  • To maintain effective communication with ward staff, external departments within the Trust and key stakeholders outside the Trust, utilizing telephone, fax machine and email as appropriate.
  • The post holder will arrange appointments, transfers etc, on the request of the nursing and medical staff, liaising with other wards, departments and outside agencies as necessary.
  • The post holder should ensure that medical notes are maintained in good order, with filing undertaken promptly when the notes have been completed by health care professional.
  • The post holder will politely meet and welcome all patients and visitors to the department.
  • The post holder will ensure maxims is kept up to date at all times with admissions transfers and discharges.

  • You will be one of the first faces our patients and relatives will see when they first walk into our hospital, and you will be dealing with queries face-to-face, on the phone and via email.
  • Excellent verbal and written communication skills are required, you will need to multitask and prioritise whilst remaining calm under pressure, maintaining a professional approach at all times.
  • The role supports smooth patient flow and liaison with ward teams and external partners to ensure timely admissions, transfers and discharges.
