Job summary

CVS Vets is seeking a Veterinary Receptionist for Ayres Veterinary Hospital in North Shields. This permanent, part-time role (25 hours/week) requires shifts Wed–Fri, 07:30–21:00, with 1:5 weekend rota. Driving licence is essential and occasional cross-site coverage may occur.

You will manage calls, appointments, client check-ins, insurance forms, and payments while delivering empathetic, professional client care in a busy veterinary setting.

Qualifications

  • Previous experience as a Receptionist is a must; veterinary experience is a bonus.
  • A full UK driving licence and access to own vehicle is essential.
  • Must manage emotional situations with resilience and professionalism.
  • Strong communication skills with genuine empathy.
  • Excellent customer service and ability to work with the public.
  • Positive attitude and strong teamwork abilities.
  • Proficiency in Microsoft Office and database systems.

Responsibilities

  • Handle incoming calls and schedule appointments efficiently.
  • Respond to queries by phone, email, and in person with professionalism.
  • Greet and register new clients with a warm welcome.
  • Process and manage insurance forms as required.
  • Dispense medications as needed under protocol.
  • Process payments accurately and efficiently.
  • Provide empathetic support to clients during distressing times.
  • Organise patients using the in-house system for smooth flow.
  • Coordinate with other veterinary practices for patient needs.
  • Make calls regarding debts, belongings, and refunds as needed.
  • Ensure every client feels valued at the practice.

We're on the lookout for a dynamic and passionate animal enthusiast to step into the role of a Veterinary Receptionist at our Ayres Veterinary Hospital.

Role Details:

Location: To be based at our Hospital in North Shields - Unit 7 Royal Quays, Coble Dene, North Shields, NE29 6DW. But there may be a requirement to work across our other sites to cover annual leave and absence. A driving licence is essential for this role.

Contract: Permanent

Hours: 25 hours per week

Shift Pattern: Wednesday, Thursday and Friday, with shifts between the hours of 07.30 – 21.00 and a 1:5 share in the Weekend rota (working either the Saturday or Sunday)

About the Role:
  • Manage Communication: Handle incoming calls and schedule appointments efficiently
  • Inquiries Resolution: Respond to queries via phone, email, and in-person interactions with professionalism

  • System Utilisation: Organise patients using the in-house system efficiently
  • Inter-practice Communication: Liaise with veterinary practices to address patient needs and queries
  • Debt and Refund Management: Make necessary phone calls regarding debts, belongings, and refunds
  • Client Care: Above all, ensure that every client feels welcomed and valued at our practice
Who We're Looking For:
