Job summary

CVS Vets seeks a friendly Veterinary Receptionist to join Highcroft Veterinary Hospital in Whitchurch, Bristol. You will welcome clients, manage calls, book appointments and handle payments in a busy front desk.

This permanent, full-time role offers 17 hours per week with a varied schedule Monday to Friday and weekend rotation. Salary aligns with the National Minimum Wage, with five weeks’ annual leave pro rata and staff discounts on pet care.

Qualifications

• Previous experience as a Receptionist or in a demanding, client-focused role.
• Proficiency in Microsoft Office and database systems.
• Strong communication skills with genuine empathy.
• Outstanding customer service and teamwork abilities.

Responsibilities

• Manage incoming calls and schedule appointments efficiently.
• Respond to queries via phone, email, and in person with professionalism.
• Greet and register new clients, ensuring a warm welcome.
• Process and manage insurance forms and payments.
• Dispense medications as required and handle clinical paperwork.
• Liaise with veterinary practices to coordinate patient care.
• Provide empathetic support to clients during distressing times.

Role Details:

Location: 615 Wells Road, Whitchurch, Bristol, BS14 9BE

Contract: Permanent, Full-time

Hours: 17 hours per week

Shift Pattern: Monday - Friday on a varied shift pattern, including a share in the Weekend rota

Salary: Will be paid at the National Minimum Wage

Must Haves: Previous experience as a Receptionist or in a demanding, client-focused role

About the Role:

• Manage Communication: Handle incoming calls and schedule appointments efficiently
• Inquiries Resolution: Respond to queries via phone, email, and in-person interactions with professionalism
• Client Reception: Greet and register new clients, ensuring a warm welcome
• Insurance Management: Process and manage insurance forms adeptly
• Medication Distribution: Dispense medications as required
• Financial Transactions: Process payments accurately and efficiently
• Emotional Support: Provide empathy and understanding to clients during distressing times, while maintaining professionalism
• System Utilisation: Organise patients using the in-house system efficiently
• Inter-practice Communication: Liaise with veterinary practices to address patient needs and queries
• Debt and Refund Management: Make necessary phone calls regarding debts, belongings, and refunds
• Client Care: Above all, ensure that every client feels welcomed and valued at our practice

Who We're Looking For:

• Previous experience as a Receptionist or in a demanding, client-focused role is a must; experience in a veterinary setting is a bonus!
• Resilience and the ability to handle emotional situations with kindness and professionalism
• Strong communication skills paired with genuine empathy
• Outstanding customer service skills and experience with the public
• Positive attitude and superior teamwork abilities
• Proficiency in Microsoft Office and database systems
