Job summary

inspiring vet care is seeking an experienced Receptionist for our Fishguard Practice, with occasional cover at Haverfordwest & St David’s. You will be the friendly first contact, handling appointments, client queries and payments while supporting the clinical team.

Responsibilities

• Provide excellent customer care to clients and patients in a calm, friendly manner.
• Manage bookings, collect client details and update the Practice Management System daily.
• Register new clients, maintain confidentiality and handle payments.
• Assist with prescription retrieval and routine care administration.
• Support debt reporting and routine insurance claims handling.

Here at the Oak Veterinary Group, we are looking for an experienced Receptionist to join our existing experienced Support Team to offer an opportunity for a Receptionist position at our Fishguard Practice with occasional cover at Haverfordwest & St David’s Practices!

We are looking for a friendly, hardworking, and enthusiastic dedicated client centred individual, to become a part of our existing efficient Reception / Support Team to become the focal support for the Clinical Team & Clients at our Fishguard Practice. Our busy Practices thrive in an environment of collaboration and effective teamwork.

How You’ll Make a Difference

As a Receptionist, you will be the first point of contact for clients, playing a key role in delivering a welcoming, professional and compassionate experience at every interaction.

You’ll support the smooth running of the practice by managing appointments, handling enquiries, supporting client communications and working closely with clinical and non-clinical colleagues to ensure a positive client and patient journey.

Working Pattern

We require ideally one candidate to work 37.5 hours per week ( flexible arrangement would be considered) between the hours of 8am-5pm weekdays (Fishguard Practice) and 8.30am-1.30pm on Saturdays on a rota basis at our Haverfordwest (time in lieu compensated). The job will be based at Fishguard with occasional rotational cover potential at our Haverfordwest and St David’s Practices (rota determined) with an equal share of Saturday morning cover at our Haverfordwest Branch only.

Key Responsibilities

• Provide excellent Customer Care for our Clients and Patients efficiently in a calm manner
• Oversee bookings management, capturing client data and maintaining our Practice Management System daily
• Client Registration ensuring accurate record maintenance and observing client confidentiality
• Processing Client payments on appointment or dealing with initial follow up process.
• Retrieve & support prescription preparation protocol for our clients
• Assisting with routine daily debtor reports / queries and support with Pet Health Care Plan Administration / Routine Queries
• Some Administrative support with Insurance Client Claims Handling and Processing
• Maintaining the periodic cleanliness of the Waiting Areas and Consult Rooms and assisting with routine premises related tasks
• Stock management assistance including unpacking orders, stock rotation and ensuring correct storage and recording methods are in place.
• Confident to interact with domestic pets and general animal handling
• Perform other receptionist support duties as required
