Job summary

Inside Travel Group is seeking a Travel Operations Specialist for the InsideJapan brand in Bristol. You will secure services, generate final travel documents, and maintain up-to-date client and product details to ensure flawless automated outputs.

The role links Travel Consultants with suppliers, manages booking queues, and supports with admin sales tasks when needed. A passion for Japan and strong organization are essential.

Qualifications

• Passion for Japan/Asia as a travel destination.
• Strong geographical and logistical understanding of Japan.
• Experience coordinating and confirming a diverse range of travel arrangements.
• Well-developed problem-solving skills with initiative.
• Independence and strong organisational skills.
• High level of productivity and accuracy under time pressure.
• High quality communication/interpersonal skills in emails, in-person and on the phone.
• Proficiency in MS Office (Excel, Word, PowerPoint, Outlook, Teams, SharePoint).
• Japanese language skills for business communication and travel documentation.
• Advanced level of English, both written and spoken.

Responsibilities

• Confirm travel arrangements using phone, e-mail, and online reservation systems.
• Utilise Master Planner to monitor, book, and schedule Insiders and freelance tour leaders.
• Maintain strong relationships with suppliers to secure trip delivery.
• Input reservation details into Axum for Info Packs and client records.
• Record costs of services in Axum and liaise with Finance for invoices and refunds.
• Quality check bookings before generating final Info Packs and documents.
• Generate Info-Pack documents and ensure tickets are ready for client delivery.
• Monitor shared inboxes and assist Sales teams with queries and requests.
• Perform quality control of Group Tour bookings in Axum and update client documents.
